Job Description:

The Roxbury Community College Registrar is the official custodian of all student information system records. Under the direction of the Dean, Student Life, she/he leads
the technical, administrative, and operational functions of the Office of the Registrar as they relate to registration, student academic records, and records maintenance for all new and continuing students. As the official keeper of the College's student records, the Registrar plans, organizes, and directs the processing, maintenance, and certification of all student records, working collaboratively with administrators within academic affairs, student affairs, and information technology departments, as well as faculty and students. She/he will develop and document policies and procedures for new andcontinuing student registration, registration and degree audits functions, transcript evaluations, and maintenance and accuracyof curriculum and course master files; advising and program planning functions within the Jenzabar student information system.

She/he will oversee comprehensive enrollment functions and transactions including registration, course and classroom scheduling and publications, recording and archiving student grades, transcript and degree information, transfer and credit evaluation, course catalog history, degree audits and graduation certification, and other activities related to student enrollment inall courses and programs offered by RCC utilizing multiple modules within the Jenzabar student information system in accord with accreditation standards and state and federal privacy regulations, particularly the Family and Educational Right and Privacy Act (FERPA).

The ideal candidate will demonstrate excellent advanced technical computer skills, as well as leadership, collaboration, analytics, customer service, and public presentation skills requisite for implementing effective processes that support student success thatrelies heavily on a strong alliance with the College's admissions activities. Evening and weekend availability is required.

Supervision Received: The Registrar reports to the Dean of Student Life Supervision Exercised: Office of the Registrar AFSCME staff

Essential Functions:

  • Serves as records certification officer for the College, responsible for all student records maintenance, disposition,security, and integrity in accord with accreditation standards, state and federal regulations, particularly the Family Educational Right and Privacy Act (FERPA).
  • Coordinates class schedules, classroom assignments, and updating of course, program, and registration content ofcollege publications.
  • Supervises the coordination, evaluation and certification of all petitions to graduate andparticipates in the
  • graduation process to include assisting with the planning of the commencement ceremony.
  • Responsible for collecting, recording, maintaining, and reporting of student records within FERPA guidelines, e.g., grades, enrollment verification, registration data, transcripts, mid-term verification, athletic eligibility, and other associated audits. Utilizes technology applications to support the matriculation and registration of students and supportive student services. Resolves student disputes as they relate to records and registration.
  • Collaborates with academic and student affairs and information technology administrators, faculty, and staff to improve services to students, to develop promotional publications, including the College catalog, to address policy questions.
  • Serves as ex-officio member of the Curriculum Committee.
  • Participates in professional development activities including attending state-wide meetings of enrollment servicesadministrators, active memberships in relevant local and regional professional associations.
  • Provides reports of enrollment data as needed.
  • Supervises and evaluates the performance of assigned direct and indirect reporting Enrollment Center staff, including their training, including use of multiple modules within the Jenzabar student information system and high quality customer service delivery.
  • Other duties as assigned.



Requirements:

  • Bachelor's degree required. Master's degree preferred.
  • Excellent (power user) computer skills for utilizing student information systems. Jenzabar preferred. Microsoft Office.
  • Comprehensive and sophisticated understanding of the application of technology and automation for student recordcreation, maintenance and storage that follow best practices in higher education.
  • Supervisory experience in registration and records management.
  • Strong understanding of FERPA regulations and enforcement procedures.
  • Knowledge of the admissions, financial aid, and communication components of the enrollment process.
  • Excellent attention to detail, strong decision-making capability, superior work ethic, high level of professionalism, initiative,and the ability to work independently and within teams.
  • Experience working successfully with diverse populations with a positive attitude and ability to plan and adapt to change. Excellent problem solving skills, flexibility and the ability to manage ambiguity and uncertainty.
  • Ability to collaborate effectively with administrators, faculty, and staff across college divisions and departments,particularly regarding information technology (IT).
  • Strong interpersonal, teamwork and oral and written communication skills, including public speaking for outreach andspecial events.
  • Demonstrated commitment to providing excellent customer service to students, faculty,staff, administrators and other college stakeholders.
