Salary Basis: 12 month

Responsibilities:
The secretary will be responsible for performing several specialized secretarial duties for an academic division. Duties include the following:

1. The Senior Secretary provides support for the Chair in executing budgetary, programmatic, and curricular duties. This includes: organizing the main office; placing orders and monitoring office needs; maintaining departmental course files, schedules of instructor office hours, and class schedules. paperwork for new faculty members; scheduling events and faculty travel; overseeing the day-to-day operations of the Division.

2. The Senior Secretary provides secretarial support to faculty in the following ways: serves as division receptionist; greets students, faculty, staff and visitors; takes telephone calls and other forms of communication; provides information and refers inquiries to appropriate personnel; helps maintain the Division's social media presence.

3. The Senior Secretary will prepare employment and payroll documents for instructors and student workers, in addition to documenting and maintaining records for paying guest speakers and consultants.

4. The Senior Secretary is responsible for all paperwork for the employment of work study students and graduate assistants and supervises work study students and graduate assistants.

6. The Senior Secretary records minutes at departmental meetings.

7. The Senior Secretary performs all other duties as assigned by the chair.


Qualifications:
A high school diploma is required. A two-year or four-year undergraduate degree is preferred.

Strong written and oral communication skills. Proficiency in modern office tools, practices, procedures and equipment is required; Microsoft Office tools for word processing, creating databases, spreadsheets and so on as well as skill in Internet correspondence.

Ability to establish and maintain amiable and effective working relationships with other staff, faculty, administrators, students and external contractors and vendors.

Preference will be given to candidates with experience in a higher education environment.


Salary:
12 monthCommensurate with experience, qualifications, and university’s resources.
