General Summary/Purpose:Reporting to the Registrar, the Registration Coordinator has a combination of commencement, records, registration, and data reporting responsibilities.

Within the areas of commencement and data reporting, the incumbent is primarily responsible for maintaining graduation data in SIS and coordinating the Conservatory’s commencement activities including the ceremony, diplomas, website development, communications with candidates, and related activities. This position also responds to requests for student enrollment data reports and metrics in the student information system of record (SIS); and serves as a primary tester of technical enhancements for the Registration module of (SIS) and related systems.

Within the areas of registration and records, the position will assist with student registration, respond to faculty requests for enrollment assistance, and provide support in updating and maintaining student records.

Role and responsiblities

Graduation - 15%:

  • Identifying and communicating with potential graduates
  • creating, editing and maintaining the online Graduate Application form
  • performing an initial review of students’ eligibility to graduate and together with the Registrar and Academic Affairs completing the final clearance processes,
  • entering student information into the Graduation Details screen in SIS;
  • monitoring and verifying the number and names of students participating in the Peabody and JHU ceremonies;
  • Providing statistics for the current graduating class
  • Preparing and formatting the list of candidates for both the Peabody and Homewood program preparing the candidates portion of the Dean’s commencement script
  • Ordering diplomas and preparing them for either the Peabody ceremony or for mailing; monitoring and notifying any candidates on the stop lists and holding diplomas if necessary; providing requested information to Homewood Graduation Coordinator;
  • Coordinating Peabody commencement meetings and executing the Commencement ceremony along with the Registrar.

Course and Room Scheduling - 35%:

  • Quality assurance and updating of course data (descriptions, credit hour, restrictions, prerequisites, etc.) in accordance with Academic Affairs determinations for display in the annual academiccatalogas well asSIS.
  • Support SIS data integrity necessary forAEFIS.
  • Scheduling, duties include, but are not limited to, space assignment, resolving room conflicts, assuring that the classrooms meet the needs of courses, and finding space for ad-hoc events.
  • Schedules studio space for individual instrument instruction for teachers who do not have their own studio.
  • Serves as a primary tester and trainer for the scheduling system and represents the office at scheduling and space utilization meetings with the ability to produce reports for decision-makers.
  • The Registration Coordinator is responsible for working in close partnership with the schedulers in the Preparatory and the Concert Office.

Reporting and Testing - 20%:

  • The coordinator is a primary tester for enhancements to SIS and related database systems.
  • Assists the Registrar with the development and maintenance of enrollment data which serves as the basis for data reports used internally and externally.
  • Provides substantive reports, quality control, and data analysis for academic and program audits, and for external reporting with the Registrar.
  • Monitors and tracks student status changes.

Registration, and Records - 10%:

  • Interprets and communicates registration policies and procedures to faculty and students.
  • utilizing the Student Services module of SIS for a variety of tasks which include, but are not limited to, transfer credit processing in SIS, waiver processing, student registration, responding to faculty requests, and processing transactions related to academic actions such as petition determinations and records notations.
  • assists the Registrar and the office with other duties as needed.

Additional tasks affiliated with other departments:

  • Syllabus management and administration for all courses offered each semester via Simple Syllabus software
  • Faculty Office management and support including exam printing, supplies, IT assistance, etc.

Minimum Qualifications (Requirements):

  • High School Diploma/GED required.
  • Four years’ administrative/academic related experience
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective

Preferred Qualifications:

  • Experience in registration, financial aid or student records preferred
  • Bachelor's degree strongly preferred.

  • Exceptional oral, written, and interpersonal communication skills.
