General summary/purpose:

Reporting to the Assistant Dean of Academic Affairs (and the Director of Advising), the Academic Program Coordinator plays a critical role in monitoring students’ academic progress through the degree and diploma programs of the Conservatory, assists with student course enrollment, acts as primary contact and advising support for students enrolled in low-residency programs, and supports the Advising Office. The Academic Program Coordinator is expected to learn and possess extensive knowledge about academic programs, policies, procedures, and student support services.

Specific duties & responsibilities:


Administrative 20%

    Liaise with the Peabody Office of the Registrar and/or Student Enrollment and Account Management (SEAM) on student enrollment, with a strong focus on new and graduating students. Review students’ credits and manage adherence to credit limits. Manage advising alerts in the Student Information System (SIS). Review, flag, and approve/deny students’ Interdivisional Registration requests. Assist in coordinating enrollments with the Ensemble Office and Concert Office. Coordinate communication of placement exam results to new students and maintain exam records. Manage day-to-day operations of the SIS Degree Audit system for all Conservatory students, including set-up and maintenance, maintenance of accurate records, and recording of approved waivers, exceptions, transfer credit, and related information. Run reports that assist with course planning, student enrollments, and program completion. Manage uploading of documents to OnBase enterprise information platform and OnBase workflows. Assist in the collection and preservation of student learning assessment data and advising assessment data. Handle departmental purchasing. Keep OAA and Advising websites current.

Student Success 35%
    Track student progress toward graduation and execute the twice annual graduation clearance process. Maintain ongoing communication with Academic Affairs and the Registrar’s Office and report concerns in a timely way. Notify students as necessary of issues related to their graduation status. Assist in onboarding new students during the pre-matriculation period and through orientation. Participate as needed in related activities. Recruit and manage Office of Academic Affairs peer tutors in select academic areas, manage payment process, and maintain accurate records. Assist in recruiting Advising peer advisors and the hiring process. Maintain accurate records of peer advisor hours and manage payment process. Develop advising-related materials. Manage robust presence on social media platforms and assist in mass communications.

Advising 35%
    Respond to general advising inquiries from prospective students and undergraduate, Master’s and diploma students. Serve as first point of contact for students attending remotely or in low-residency programs, referring problems to the correct area for resolution and facilitating connection. Advise on program requirements and coordinate academic services for students who are attending remotely and/or are enrolled in low residency or distance learning programs. Plan and participate in advising-related programs. Maintain accurate records within and utilize Degree Audit;track student progress by running reports and analyzing student data.

Professional 10%

  • Attend Conservatory and University-wide meetings as necessary.
  • Observe and report on trends in student advising and advising tools.
  • Cultivate opportunities for professional development.

Special Knowledge, Skills, and Abilities

    Excellent computer skills with sound knowledge of MS Office Suite and database management Comfort with working in a remote and online environment Desire to assist students to reaching their academic, professional, and personal goals Stronginterpersonal, verbal, and written communication skills Sensitivity to handling of private information, and ability to keep confidentiality and adhere to FERPA Ability to work effectively with students, faculty, and staff Outstanding organization, with attention to detail and the ability to prioritize multiple responsibilities Availability for flex hours, offsetting some daytime hours with evening hours

Minimum Qualifications:

  • High School Diploma/GED.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualificiations:

    Undergraduate degree from an accredited college/university Minimum of two years of work experience in higher education

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
