Department Statement Accountabilities

Responsible for management of the President’s calendar. Ensures meetings are properly sequenced and reflect the strategic priorities of the President. Ensures President receives sufficient background and preparation material in a timely manner prior to scheduled meetings. Ensures all meetings are properly scheduled and managed consistent with the highly visible nature of President’s meetings.

Responsible for coordination of information flow to and from the President, to include timely updates, campus email distributions, phone calls, and correspondence.

Responsible for management and scheduling of the President’s travel (including travel of President’s Spouse/Partner). Ensures travel plans meet the timing, strategic and other scheduling needs of the President.

Responsible for the coordination of Cabinet and other high-level meetings.

Responsible for management of on-campus entertainment events hosted by the President, to include management of guest lists, logistics, facilities, catering, invitations, and other aspects of Presidential events. Ensures President is prepared and in receipt of any required information prior to any events.

Ensures proofreading and general copy editing of all President’s correspondence prepared for his/her signature as well as the President’s speeches.

Serve as welcoming first source of contact for callers and visitors to the president’s office, referring individuals to the appropriate office, if necessary. Responsible for exercising significant discretion when scheduling access to the President.

Responsible for maintaining strict confidence and discretion at all times related to Colgate business and President’s information.

Responsible for maintaining accurate and up-to-date President’s Office budget information, to include President’s discretionary fund commitments and providing background information necessary for donor stewardship.

Responsible for successful completion of other tasks that contribute to overall success of university as assigned (i.e. support task force, consultant visits, searches, etc.).

Professional Experience/ Qualifications

- A minimum of five years of administrative experience in a professional setting with progressive responsibilities.
- Proven ability of working with sensitive documents and information in a discrete and strictly confidential manner.
- Requires excellent organizational skills in providing timely information, managing travel arrangements and calendars.
- Requires excellent proofreading and general copy editing.
- Proven ability to interact with multiple constituents in a professional and courteous manner.
- Solid skills and experience with Microsoft Office Suite.
- Must be capable of working collegially with diverse groups of faculty, staff, students and community members.

Preferred Qualifications Education

A minimum of an Associate’s degree is required.

A Bachelor’s degree is preferred, or a combination of education and experience from which comparable skills are attained.
