Job Description Summary

Under the direct supervision of the AVP for TLSS, this position is responsible for performing complex, confidential, and diversified administrative duties in support of faculty, staff, students and the college community.

Minimum Qualifications

  1. One to two years of college credit (30 credit hours is equivalent to one year) or equivalent formal training in related field.
  2. Combination of education and related experience for a total of four to five years of experience in the office of a senior administrator as administrative support, preferably in a higher education setting.

  1. Manages the daily appointments and activities of the AVP .
  2. Expedites workflow in the absence of the AVP .
  3. Coordinates complex, non routine meetings on- and off-campus with various individuals, committees, and constituency groups.
  4. Schedules monthly staff meetings for the AVP with his/her direct reports and coordinators, as well as monthly one-on-one meetings with each of the AVP’s direct reports.
  5. Attends and takes minutes for meetings as required; transcribes meeting minutes; and circulates the minutes via email for all involved parties.
  6. Attends college-wide meetings, forums, and other events on behalf of TLSS as required.
  7. Researches and gathers source materials for the preparation of correspondence and meeting minutes.
  8. Updates beginning-of-the-semester documents and information and disseminates to TLSS faculty and staff.
  9. Composes and edits correspondence.
  10. Answers phones, provides information, and processes messages.
  11. Handles highly confidential messages and correspondence.
  12. Demonstrates advanced proficiency in the College’s enterprise technology system and computer applications, including Owl Link, Colleague, Outlook, and Microsoft Office applications (i.e., Access, Excel, PowerPoint, and Word).
  13. Provides technical assistance for the Faculty Evaluation Plan and the Faculty Promotion and Tenure Plans.
  14. Maintains and posts First-day Handouts prior to the fall and spring semesters for faculty access.
  15. Maintains knowledge of new computer technology for departmental and college-wide use.
  16. Enters pertinent information into Colleague to process invoices, order supplies, renew periodicals, and schedule local and out-of-state travel.
  17. Coordinates complex travel arrangements for the AVP .
  18. Maintains the external presence of the TLSS area via regular maintenance and updating of the portal site.
  19. Establishes and maintains alphabetical, subjective, and numerical filing systems.
  20. Supports the Program Manager for Early/Middle College and High School Partnerships in coordinating early/middle college and high school events.
  21. Supports the Executive Vice President and Provost in the absence of his/her executive associate.
  22. Performs related work as required.

Job Requirements

  1. Must be available to work Monday through Friday, 8:30 a.m. to 4:30 p.m. Work schedule is subject to change based on department needs.
  2. Ability to communicate effectively in spoken and written standard English.
  3. As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
