Under the direction of the Assistant Vice President for Facilities, the employee will provide direct supervision for Central Shipping and Receiving, Central Storeroom, Asset Inventory and Property Control, and coordination of the College Mail. The Employee will follow procedures to facilitate effective operations and service to the College Community. Responsibilities/Duties
- Plan and implement activities related to daily warehouse operations, which includes daily receipts, deliveries, and inspection of goods. Assist in maintaining accurate records within system through report generation and initiating modifications to the system as necessary. Develop courier and mail schedules and delivery of service.
- Train staff in effective inventory and receiving practices. Ensure that deliveries are made within designated time frames.
- Manage the disposal of equipment and supplies in the College.
- Evaluate staff performance.
- Review storage locations to ensure the proper rotation of time sensitive items and proper location. Address complaints.
- Ensure that items are verified against packing slips. Maintains materials inventory.
- Maintains a clean work area.
- Knows the formal and informal departmental goals, standards, policies and procedures which may include some familiarity of other departments within the college.
- On a regular and continuous basis, exercises sound judgment and assume responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area.
- Responsible for maintaining all storage areas in a cleanly and organized manner.
- Implements the asset inventory process for all College property and equipment. Oversees the creation and maintenance of the asset database and supervises the Property Control Specialist in this task. Works to establish a new inventory of all property and equipment for the College following the requirements set forth by the State’s Department of General Services.
- Reviews and ensures the proper recording of all new acquisitions, deletions and other changes to inventory records weekly, and coordinates data with Central Receiving, Budget Office, Accounts Payable and the Purchasing Department;
- Responsible for reviewing and submitting documentation for state reporting requirements for audits and follows guidelines for the Department of General Services’ (DGS) Excess Property Disposal reports (EPD), Property Control Action Request forms (PCAR) and PC Roll-Out Reports;
- Other related duties as assigned.
Required Qualifications
Minimum Qualifications:
Education :
- High School Diploma or GED Equivalent
- Must be willing to take classes to stay abreast of changes in the industry
- Preferred: Bachelor’s degree
Experience :
- Three years of experience required in asset inventory, database management, shipping and receiving, mail coordination and related duties.
- Three years of supervisory experience required
- Preferred: 3 years of experience working in higher education or for a Maryland state agency
Certification :
- Valid driver’s license required
Communication :
- Must be able to exchange everyday information using insight and opinion as appropriate, requiring proper grammar, good oral and written communication skills.
