Chief of Staff, College of Engineering and Computer Science
The University of Tennessee at Chattanooga is looking for a Chief of Staff in the College of Engineering and Computer Science. This position supervises staff members, coordinates and plans college events and operations, supports marketing and communications, and aids the Dean in all facets of working with internal and external constituents including but not limited to students, staff, faculty, and personnel from private and public sectors for the College.
Daily and weekly provision of instructions and tasks for ones under supervision; provision of guidance where appropriate to staff on university policies and procedures; manages the daily business operations of the college in the areas of budget, finance, and human resources; serves as a resource and advisor for department leadership; participates in the establishment of and implements short-and long-range business goals that support the mission for the college; acts as liaison with all levels of administration, faculty, and external constituents to coordinate departmental business, accomplish goals, and facilitate the resolution of problems in a large and complex organization; supervises, trains, and mentor staff; maintains interface with departmental personnel to coordinate operational activities to ensure adequate staffing, space, and facilities; facilitates a variety of human resources functions; develops presentations and trainings; manages academic searches and the promotion and tenure process
Maintain schedules for and support execution of college events, activities, functions; oversee completion of faculty documents for reappointment, tenure, and promotion; interface with internal and external entities for execution of college and university tasks; interface with university units to support day-to-day operation of the college; ensures contracts follow the appropriate review process per policy and procedures; coordinates the compilation and preparation of operational and financial reports and analyses that summarize progress, challenges, and appropriate recommendations; provides management of budgetary and financial functions for the department; develops and manages budgets
College Events and Activities
Plan and coordinate college events with external units and personnel; maintain college master calendar of events, adding and arranging events as needed, sharing the calendar with faculty and staff; plan and coordinate with the Development and Admissions offices and college scholarship committee to administer college scholarships; plan and coordinate college events, including award banquets, new faculty orientations, student forums, faculty forums, coffee and conversation with the Dean, graduation receptions, new student orientations, STEM fairs, and others; plan and coordinate advisory board and alumni events and meetings
Project management of college-level initiatives and functions
Track and oversee execution of college-level initiatives such as articulation agreements, space projects and community outreach using project management tools; coordinate regular meetings with stakeholders, including deans, directors, department chairs and community members; communicate progress of initiatives, follow up and delegate as appropriate; plan and oversee college-level budget for operations, events and new initiatives; perform data gathering and fact finding research; communicate on a monthly basis items needed from department chairs, incorporating items needed from across college functions, including student success and development; present at college events as needed, interface with community and alumni
Communication and Marketing
Editor of the College Annual Review; work with communications officers from other university units for stories, write and develop storyboard and individual stories, work closely with designer on layout and publication; research and preparation of reports and presentations, pull and interpret data for decisions and presentation; draft talking points for deans and external participants for college functions; develop content as requested by development, admissions and marketing communications; write stories and press releases, working closely with marketing and communications office for wide publication; create and distribute external email campaigns using third party platform; copywriting for website and social media content as well as printed publications; plan and coordinate with departmental and college staff to develop promotional and report documents; analyze data and produce effective visualizations for meetings
The ideal candidate will possess the following:
- Knowledge of university organizations (POCs for each unit), office administration and management, financial operation, marketing and communications
- Oral and written communication skills, problem-solving skills, research skills, organizational skills, computer skills (Word, Excel Spreadsheets, Power Point), Adobe Creative Suite, data analytics experience
- Ability to work with people from diverse background, work independently, manage multi-tasks, learn new skills and use of software, Keep confidentiality, act professionally

Minimum Qualifications : A Bachelor’s degree and two years of office administration/management experience.
Preferred Qualifications : Bachelor’s Degree in Communication, Business Administration, or English; Master’s degree preferred. Five years of office administration/management experience.
