Position Primary Purpose and General Responsibilities

The Administrative Coordinator reports to the Associate Deans and provides customer service, receptionist, and operational support to the College of Health Professions Dean’s Office. Responsibilities will include typing memos, correspondence, and reports; serving as the department receptionist; assisting with calendar maintenance and scheduling appointments; responding to customer inquiries in person, online and via telephone in a timely and respectful manner by practicing first call resolution, preventing call escalation, and adhering to service procedures and guidelines; directing visitors and incoming calls to appropriate offices and departments; serving as administrative support to the Associate Deans; retrieving and delivering incoming and outgoing office mail; assisting staff with event coordination and set up; maintaining personnel contact information and updating employee distribution lists; taking minutes at meetings; etc. The Administrative Coordinator will resolve most standard issues independently and refer complex or unique issues to the Associate Deans. Must provide exceptional office and administrative support for visitors, students, staff, and faculty as the receptionist for the College of Health Professions Dean’s Office, as well as clerical and administrative support to the Associate Deans, utilizing available resources of the University and Health System.

Minimum Hiring Standards

• High School Diploma or equivalent

• Demonstrated ability to interact with multiple and varied customers in a professional and respectful manner

• Demonstrated ability to respond professionally and congenially to emails and phone inquiries from current/prospective students, alumni, faculty, staff, and visitors

• Exceptional positive service-oriented customer service skills, along with the ability to prioritize work, handle multiple tasks and meet deadlines is required

• Excellent verbal, written, and interpersonal communication skills

• Ability to maintain confidentiality and professionalism in an office environment

• Proficiency in Microsoft Office Suite and Google Drive

• Experience using a wide array of office machines/technologies

• Ability to exercise judgment, appreciate diversity, and respect differences

• Excellent attention to detail and exceptional analytical, problem solving, organizational, and proofreading skills

• Demonstrated experience or high potential for fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU

Preferred Hiring Standards

• 2-3 years of work experience in an administrative/office support position

• Graduation from an accredited college or university with a Bachelor’s degree

• Experience in a higher education environment
