Program Coordinator, Reitz Union Game Room



Classification Title: Student Affairs Program Crd Job Description:

Responsible for the daily management and oversight of the Reitz Union Game Room.

  • Manage daily operations of the Game Room facility including but not limited to operating hours and procedures, staffing and scheduling, facility and equipment maintenance, and facility purchases
  • Manage all reservations, socials, and events hosted within the Game Room facility collaborating with food services and/or appropriate vendors as needed
  • Responsible for budget planning, development, and oversight for the center; ensure proper financial management including appropriate expenditure controls, record keeping, and compliance with appropriate financial guidelines and procedures; daily management of daily sales
  • Develop, implement, and interpret policies and guidelines for center operations and activity participants.
  • Interpret and ensure compliance with appropriate university policies and guidelines, including safety regulations and procedures such as general safety, fire safety, and evacuation procedures. Ensure compliance with safety standards, OSHA, ADA and other relevant regulations at all times
  • Responsible for the purchase of supplies and equipment used by the Game Room facility and programs as well as items for inventory and resale
  • Manage inventory of merchandise, tools, equipment and furniture, including upkeep, record keeping, and long-term planning; inventory, tools, or required materials requires the ability to lift up to 50 lbs occasionally


Responsible for management of recreation and leisure programs and events for Reitz Union Game Room, Union Landing, and Newell Hall

  • Provide oversight and strategic planning for the union recreation and leisure facilities, programs, events, and experiences
  • Maintain a comprehensive budget and financial plan including revenue and expenses for areas of responsibility
  • Assist with the coordination of the leisure course program including course scheduling, equipment reservations, recruitment, and course enrollment
  • Serve as a liaison to campus partners to program, cosponsor, and collaborate on events and activities
  • Develop and implement programs, events, tournaments, and drop-in activities within Reitz Union and Newell Hall spaces that promote facility usage, social connection, and/or contribute to educational goals
  • Ensure the development and implementation of a comprehensive marketing and promotions strategy for Reitz Union and Newell programs and activities


Provide oversight for the management of Union Landing

  • Responsible for daily scheduling, development, budget planning, and oversight for the area
  • Conduct regular equipment inventory, management, and maintenance while following safety guidelines and protocols
  • Create, implement, and evaluate activities and programs such as tournaments, open events, and programs to promote utilization of the space
  • Assess space usage data and develop goals for the area


Hire, train, and supervise staff for the areas of responsibility

  • Lead recruitment for student employees including recruitment, interview process, and coordination of hiring
  • Coordinate onboarding and hiring process in conjunction with HR policies and guidelines for areas of responsibility
  • Plan and manage the day-to-day operation including establishing work priorities and workflow
  • Responsible for administrative functions related to supervision of staff such as time approval and reporting, scheduling, employee discipline and related human resources functions for staff
  • Plan and implement job training programs for employees on operation, safety, and maintenance of equipment, customer service, and related topics
  • Coordinate student staff development programs in alignment with university and divisional competency programs
  • Assist with the development and implementation of a department-wide structure that provides opportunities for growth and advancement for student employees


Develop reports, handle special projects, and perform other duties as assigned.

  • Gather information, analyze data, and compile reports as directed to support or inform management decisions and department goals; including but not limited to student needs, satisfaction, and program effectiveness for the areas of responsibility
  • Serve on departmental, Division of Student Affairs or University of Florida committees or program support as needed
Expected Salary:

$48,000 Annually; Commensurate with experience

Minimum Requirements:

Master's degree in an appropriate area of specialization; or a bachelor's degree in an appropriate area of specialization and two years of appropriate experience

  • Event planning and on-site event management
  • Supervision and management strategies
  • Budget development and management
  • Student development theory, counseling theory, experiential learning, or similar
  • Event planning and management, or programming on a collegiate campus
  • Training and mentoring staff, including full-time, part-time, and student employees
  • Event development, planning, and implementation
  • Proficiency with computers and basic software applications (e.g. Microsoft Office Suite)
  • Communication skills (verbal and written)
  • Customer service skills
  • Interpersonal skills
  • Function effectively in a fast-paced environment with frequent interruptions
  • Handle multiple projects or tasks simultaneously
  • Understand, interpret, and apply rules, regulations, policies, and procedures
  • Work as part of a team in a multi-cultural environment

Normal work hours:

  • Monday through Friday, 08:00 AM to 05:00 PM; with a 1-hour meal break
  • Flexibility to adjust schedule may be required (including occasional evenings and weekends) depending on the demands of position and/or department needs
