Position Primary Purpose and General Responsibilities

The Partnership for People with Disabilities, a grant funded University Center in the School of Education, is seeking a dynamic candidate for the role of Finance Specialist. This position provides fiscal support and accountability to the organization. It ensures that tasks are accomplished timely and in compliance with University, federal, state, and grant funders’ standards.
Responsibilities include, but are not limited to the following:
Demonstrates a commitment risk assessment (considering costs, benefit, and impact),
Assists with approving purchase and travel requests for the department ensuring that all accounting is accurate,
Prepares a large volume of monthly budget reconciliations closely monitoring accounting, asking questions as needed, and meeting with PIs and Project Directors monthly,
Researches complex payment inquires and provides timely resolutions,
Monitors group email address,
Assists with monthly updates of detailed billing reports for various grant funders (ex. VDOE OMEGA ),
Serves as the secondary timekeeper.
Assists with preparing grant proposals as needed,
Coordinate and track requests in mandatory software (Monday.com),
Assists with creating finance documents and forms for staff as needed,
Provides training to department staff on fiscal processes (quarterly trainings or as needed),
Develops and maintains positive relationships with internal and external customers,
Coordinates dissemination and collection of finance reports,
Oversees schedule and work of any student workers assigned to this position, and
Attends University meetings on both campuses.
Provides trainings via in-person presentations and online communications as needed.

Minimum Hiring Standards

In depth knowledge of rules and regulations pertaining to state agency disbursements, budget reconciliations, general rules of accounting, purchasing, travel reimbursements,
Some knowledge of managing grant funds,
Excellent communication skills (written and verbal),
Must be able to communicate fiscal information to department in a variety of formats (emails, in-person trainings/meetings, online communications (ex. Zoom), online newsletter, etc.,
Extensive experience with Microsoft Office Excel (must be able to demonstrate skills using a variety of functions in Excel and be willing to take advanced professional development to enhance skills),
Task-oriented and proactive with resolving issues in an efficient manner,
Must be dependable and able to work additional hours as needed,
Must be able to successfully work on a team,
Experience processing and approving purchase requests, travel reimbursements, and supply orders,
Must be able to manage a high volume of tasks from a variety of sources (e.g. emails, in-person, requests received in mail, telephone, etc.),
Must be able to type at least 50 wpm,
Must be able to travel to and work in multiple office locations in the Richmond area (ex. both campuses, 700 E. Franklin St. & 3600 E. Broad St.),
Excellent organization skills,
Experience preparing finance reports and presenting the information in various settings, Willingness to learn and apply Uniform Guidance to our accounting processes,
Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a staff member at VCU, and
Ability to multi-task required

Preferred Hiring Standards

Bachelor’s degree or equivalent experience (5+ years in finance roles equivalent to this position)
Significant experience working with a grant funds in a University Setting
Experience as a timekeeper
Experience with Banner, Chrome River, Realsource
Experience with preparing online communications (i.e. email blasts, newsletter, etc.)

Required Licenses/ Certifications Anticipated Hiring Range $40,000-$52,000 Application Process/Additional Information

Applicants must be able to work in multiple locations in the Richmond area (700 E. Franklin Street and 3600 E. Broad). Parking is at the expense of the employee, and may be purchased through the VCU Parking office. Salary will commensurate with experience.
