Description

 

Director, Advancement Services & Business Operations manages the administrative, financial, and human resources operations of a division. Directs the development, implementation, and management oversight of all administrative functions for the Office of the President and the Division of Advancement & University Relations, including two major program areas: advancement information services and gift processing. Manages oversight of UHD's donor/alumni/ prospect information and of the deposit, receipting, and acknowledgment of UHD's gifts/pledges from all private funding sources. Manages endowment creation, modification, and administration, coordinating with system offices of gift processing, compliance, and treasury. Collaborates with marketing and communications staff to budget projects, define scope, handle contracts, and promote positive relationships with vendors. Coordinates with business administrators in client units across the University.

 

DUTIES:

  • Oversees the processing and acknowledgment of gifts, pledges, pledge payments, matching claims, and other contributions to the university from private funding sources
  • Manages financial activities of the unit. Reviews and approves expenditure documents, including vouchers, requisitions, contracts, and p-card expense reports
  • Directs UHD gift management, coordinates endowment agreements with UH System on behalf of UHD, and monitors endowment agreements
  • Analyzes, forecasts, makes recommendations for current and future budget expenditures. Includes special or one-time projects
  • Consults with hiring managers; presents options. Reviews and approves personnel documents

 

MARGINAL DUTIES:

  • Interprets, reviews, and updates departmental policies and procedures to ensure compliance. Takes corrective action as needed
  • Performs monthly verifications of cost centers and generates monthly financial and budget reports
  • Performs all other duties as assigned

Delegation of Work:  Regularly assigns work to subordinate(s)

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge:

  • Creating and understanding financial statements
  • Advanced knowledge of the departmental, university, and system policies
  • Advanced knowledge of PeopleSoft Finance and HR
  • Intermediate knowledge of Advance gift-tracking system
  • Strong understanding of project management, knowing how to work with numerous offices across the university to move projects from inception to completion
  • Knowledge of trends, issues, and accepted practices relevant to the position

  • Interpersonal skills: interacting with a variety of people to understand their needs and/or problems, building rapport, and trust
  • Communication skills: in-person, telephone, and written. Problem-solving skills: applying policy and procedure to new or unique situations
  • Candidates must have strong analytical and problem-solving skills, as well as excellent interpersonal and communication skills

  • Ability to document and follow up with others as needed
  • Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community

 

WORK LOCATION AND PHYSICAL DEMANDS

Primary Work Location:  Works in an office environment 6 to 8 hours

Qualifications

Required Education:  Baccalaureate degree

Required Experience:  Minimum of five (5) years of related job experience
