About the Position
The Library Administrative Coordinator performs a variety of complex administrative duties and provides operational support with minimal supervision. This includes oversight and management of the library administrative office, project coordination, and providing assistance and support for library operations and policy. Track expenditures in library operations budget. Coordinate with others on issues related to building management, safety, and security concerns.
This is a part-time, benefits eligible position.

What You'll Do
General Administrative and Operational Support (45%)
- Lead administrative functions for the department by performing
a variety of duties including: Reception, direction, and assistance
to library staff, patrons, and visitors.
- Create, maintain, modify, and/or ensure accuracy of content in
various department print and online communications.
- Compose and edit documents and correspondence. Serve as a
resource regarding policy and procedure.
- Provide scheduling, minute taking, and administrative support
for library staff meetings, selected library committee meetings,
and the CAS Faculty Library Educational Technology Committee.
- Coordinate Library Educational Technology grant program.
- Order and maintain a wide variety of central library
supplies.
Intermediate Bookkeeping (20%)
- Monitor and track library operational budgets using WebAdvisor
and budgetary spreadsheets.
- Sign off and submit invoices to Business Office.
- Coordinate purchases and oversight of purchasing card
accounts
- Work directly with vendors and the Business Office to solve
budgetary discrepancies and issues.
Building Management (15%)
- Serve as point person for building concerns, submit service
requests, serve as liaison to Facilities Services.
- Participate in library disaster planning initiatives.
- Order, distribute, and track all keys issued to library
personnel and manages library locker rental program.
Event Planning and Coordination (15%)
- Provide support for library readings, lectures, receptions, and
other events.
- Provide support for library exhibitions and displays.
- Coordinate scheduling and travel for job position searches and
candidates.
Lead/Supervision (5%)
- Oversee or supervise day-to-day work of student workers,
including scheduling, assigning, and prioritizing work, setting
appropriate deadlines, and reviewing work for quality and
timeliness.
Must Haves
- High school diploma plus 6 years of directly related job
experience OR Associate's degree and 4 years of directly related
job experience OR Bachelor's degree and 2 years of directly related
job experience.
- 3 years experience customer service, office management or
administrative support
- 1 year bookkeeping experience
- Proven success in following through and completing
projects.
- Excellent organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to prioritize, multi-task, and assign work to
others.
- Ability to take initiative and ownership of projects.
- Ability to routinely and independently exercise sound judgment
in making decisions
Nice to Haves
- Bachelor's degree and 2 years of directly related job
experience.
- 5 years experience in customer service, office management or
administrative support
- 3 years bookkeeping experience
- 1 year experience editing web pages using software such as
Google Sites
