Primary Purpose of Organizational Unit

The Finance team within the Division of Business Affairs supports the University’s mission, strategic vision, goals, and objectives by providing key financial services efficiently and effectively to students, the campus community, and federal, state and other key university stakeholders. The Student Accounts and University Cashier Office creates, prepares, analyzes, refunds, and reports on a variety of financial transactions and supplemental data for student receivables and serves as the central depository for university revenue including daily department receipts and student tuition, fees and other charges. Student Accounts and University Cashiers Office are also responsible for processing all university student billing; student refunding; third party billing’ student and non-student collection activities; campus department feeds; title IV financial aid accounting, reporting and related drawdowns; and month end fiscal year end closing.

Brief Summary of Work for this Position

The Assistant Director of University Cashiers is responsible for the following:

• Provide leadership and supervise the Cashier Staff
• Conduct monthly account reconciliation of funds and deposit
• Ensure that the University remains compliant with the state’s Daily Deposit Act and the Cash Management Plan
• Researching and resolving all chargeback and fraud transactions
• Process, research and reconcile all incoming wire payments for the university
• Oversees the Departmental Receipting Privileges for the University
• Analyze and understand billings and the associated charges on students’ accounts
• Gather information from students to effectively understand and evaluate individual circumstances; interpret relevant policies, procedures, and guidelines to identify and explain next steps required for students and families to successfully navigate to resolve their questions
• Excellent organizational and time management skills
• Provide support to the Director of Student Accounts and University Cashiers
• Efficiency with Microsoft Office products
• Review maintain and report for payments encompassing over $10,000 annually to IRS
• Reconcile university daily deposits to TouchNet
• Responsible for maintaining the integrity of the University receipts and student financial data within the University’s Cashiers area
• Collaborate and partner with campus academic and administrative staff to continually identify efficiencies and improve processes
• Excellent listening skills, empathy, and tone with attention to detail while multi-tasking and navigating through multiple computer applications accurately and quickly to document information and task completed

Minimum Education and Experience Requirements

Graduation from a four-year college or university including 12 hours of accounting; or an equivalent combination of training and experience

Diplomas or degrees must be received from appropriately accredited institutions

Preferred education, professional skills and experience

• 2-3 years of accounting experience interpreting and applying generally accepted accounting principles in relation to accounting operations
• 2-3 years supervisory experience
• Higher education experience
• Four year degree from an accredited university in Accounting or Business Administration with 12 hours of Accounting.
• Ability to multi-task in a high volume/fast paced environment
• Ability to prepare and interpret financial data, transactions and reports
• Experience with Banner or other Oracle ERP product
• Ability to analyze processes, detect inefficiencies, and determine solutions
• Experience with TouchNet
• Laws and regulations associated with student rights and privacy and information security (e.g. FERPA, PCI, GLBA, Red Flags Rules)
