General summary/purpose:The HR Coordinator, with direction from the HR Manager, will provide a wide range of human resources support and consulting services to faculty, staff, students/trainees, supervisors and administration of the Armstrong Institute for Patient Safety and Quality. This position dually supports employees of JHU and JHHS/JHH. The incumbent will be expected to embrace and support Johns Hopkins’ HR mission of attracting developing, retaining, and engaging a high-performing workforce in support of excellence in JHM’s mission, while promoting diversity, equity, civility, and respect.

Responsibilities

Talent Management

  • Coordinate JHU and JHHS employment process, in collaboration with HR Manager, hiring managers and divisional human resources, in accordance with all applicable university/health system policies and procedures.
  • Assist HR Manager with partnering with hiring managers to create job descriptions for new positions, submit personnel requisitions, interview applicants, and assist with the hiring process.
  • Assist HR Manager with gathering compensation data with regard to appropriate starting salaries and promotional salaries for staff to ensure external and internal equity.
  • May assist with credentialing of postdoctoral fellows and faculty. May assist with processing visas for staff, postdocs and faculty positions.

Payroll/Leave and Records

  • Primary point of contact for faculty, staff, student and postdocs on JHU and JHHS payroll policies and procedures. Prepares payroll forms; monitors and maintains appropriate payroll related documents; prepares weekly payroll; researches and resolves payroll issues for employees. Assist and advise employees on tax information, sick time, vacation time, holidays, leave of absence, family medical leave, payroll, benefits etc. Monitor time and attendance forms for staff via E210 system and manages/audit KRONOS.
  • Responsible for coordinating initial departmental efforts related to staff that require Family Medical Leave (FMLA). Manage short term and long term leave processes to minimize overpayments. Maintains human resources records and computerized systems to track faculty and staff payroll information and generate ad-hoc reports. Run weekly, monthly, and/or quarterly reports in SAP.
  • Provides HR Manager with transactional support in SAP for new hires, salary changes, position maintains, supplemental payments, etc.

Performance

  • Monitor performance appraisal processes through JHU and JHHS platforms to ensure timely completion of checkpoints and reviews.
  • Communicate reminders and audit annual goals and reviews for accurate submission.

Orientation

  • Assist in developing and implementing new employee orientations and buddy program; coordinate logistical arrangements; develop and update orientation presentations, informational and resource materials for staff.
  • Provide orientation for new employees to include information on AI; ensure each new employee receives copy of their job description and other materials and resources.

File Maintenance

  • Maintain highly confidential files and records on current and terminated staff. Purge files according to federal, state, and JHU/JHHS regulations.
  • Maintain AI SharePoint site and document repositories.
  • Maintain AI listservs and personnel lists with employees hires/departures.
  • Run monthly Analytical Reports. Responsible for ensuring SAP Master Data integrity for all positions and maintaining personnel records in accordance with department, University, and health system policy.
  • Other duties as assigned. Assists HR Manager with strategic HR projects and goals as needed.

Finance

  • Work with HR Manager and Grants and Contracts Manager to assure correct application of payroll budgets throughout the year, making necessary adjustments in the payroll system through the processing of department eforms and on faculty spreadsheets.
  • Process KB15N transfers, check requests, and travel reimbursement/expenses as needed.
  • Assist with editing, formatting biosketches for faculty.

Minimum qualifications (mandatory):

  • High School Diploma/GED required. Associates or Bachelor’s Degree preferred. Additional education may substitute for experience as allowed by the JHU Equivalency formula.
  • Three years directly related work experience required. Additional years of experience in human resources preferred. Prior human resources, payroll and SAP experience preferred.

Special knowledge, skills, and abilities:

  • Working knowledge of federal, state, and local laws and regulations in human resources; working knowledge of emerging trends and practices in human resources.
  • Exercise sound and competent administrative judgment and assume responsibility for decisions, consequences, and their subsequent results.
  • Knowledge of recruiting procedures and employment practices preferred.
  • Ability to respond effectively to all levels of staff and personalities critical.
  • Ability to work collaboratively with others both within the Division and across the University and JHM.
  • Creativity and resourcefulness are a must as is the ability to maintain confidentiality.
  • Must be a proactive, self-starter and resolve matters in an independent and timely manner.
  • The successful applicant will possess the ability to problem solve and resolve conflict; research, analyze and interpret data; communicate well verbally and in writing; anticipate needs and follow through; show good judgment and strong initiative; possess a cooperative attitude.
  • Must possess excellent organizational skills with close attention to detail and an ability to manage multiple/competing priorities.
  • The candidate should have intermediate computer skills: Outlook/ email, Word, Excel, PowerPoint and Vizio.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
