Academic Records Assistant I



This staff member is responsible for daily functions and quality service provided by the Registrar’s Office. The Academic Records Assistant will provide front line services typically handled by the Registrar’s Office. The Academic Records Assistant will act as service “concierge” for students, tracking students, faculty and staff questions, emails, phone calls, resolving issues and problems. Requires familiarity with academic policies and procedures and general knowledge about the working of the university. The work is performed in an environment committed to service to students, faculty and staff. Daily tasks will include scanning, filing, data entry, email, phone, and the use of computerized systems.

Essential functions will include:

  1. Assist in creating an atmosphere of exceptional quality service for all students, faculty, staff and general public.
  2. Responsible for daily functions to include, but not limited to: answering phones, responding to all office emails and fax requests, providing general information, posting and receiving mail, and assisting with walk in traffic.
  3. Perform registration, drop/add, tracking documents and information, verifying receipt of information and providing status updates to students. Enters and updates information in the student database to include registration, demographics, addresses, billing indicators.
  4. Performs enrollment and degree verification.
  5. Assistant in document archival operation/project.
  6. Responsible for coordinating the University’s Baltimore Student Exchange Program (BSEP). Act as liaison between NDMU and other institutions participating in BSEP program.
  7. Participates in cross-functional training groups and will assist in campus-wide training initiatives.
  8. Reviews quality service guide and information on the website to required updates.
  9. Participates in the inter-office work teams to assist in the development, implementation and continued use of institution-wide quality service process and procedures.


Job Qualifications

  • Knowledge: High school diploma or equivalency certificate required. Some college level course work preferred. Previous office work or work in a college setting.
  • Experience: Two years of experience working in customer-service oriented office. Preference given to those who have experience working in a college or school setting. Experience in a fast paced environment. Experience working with computers and database system. DATATEL/ Ellucian experience preferred.
  • Skills/Aptitude: Must be extremely accurate and detail oriented. Ability to work within a team setting, and a fast paced environment. Present a cheerful and can-do attitude. Good writing and speaking skills required. Committed to quality service. Disposition to learn database software and participate in ongoing training programs.
  • Working Conditions: Normal office environment. Adjusted hours may be required during peak periods and may include occasional weekends and evenings.
