General Summary/Purpose:

The SNF Agora Institute at Johns Hopkins University is a multi-disciplinary academic and public forum dedicated to strengthening global democracy by improving and expanding civic engagement and inclusive dialogue, and by supporting inquiry that leads to real-world change. SNF Agora is seeking candidates for the position of Senior Administrative Coordinator. The Senior Administrative Coordinator will be responsible for a wide range of administrative duties and have high visibility with university leaders, key donors, and all faculty, fellows, and students who interact with SNF Agora. The Sr. Administrative Coordinator will support senior members of the institute’s staff as they work to advance the SNF Agora’s mission. Work assignments will involve considerable judgment, tact, creativity, initiative, an appreciation for tight deadlines, an unwavering commitment to the organization, a positive attitude, and a high level of confidentiality.

Specific Duties & Responsibilities

  • Day-to-day administrative support for the SNF Director and Deputy Director, including:
  • Heavy calendaring
  • Preparation of meeting materials
  • Facilitating virtual meetings and conference calls
  • Screening calls
  • Coordinating travel
  • Expense reimbursements
  • Assistance with special events planning and execution
  • Day-to-day administrative support for the Assistant Director of Finance, including:
  • Accounts payable activities to include vendor setup, online payment requests, expense reimbursements, and other SAP transactions
  • Creation of ISRs
  • Procurement of goods for the institute utilizing shopping cart or other preferred university procurement methods
  • Expense reimbursements
  • Account reconciliation
  • Providing backup administrative support for other members of the SNF Agora Institute
  • Partnering with administrative colleagues in the Office of the President and the Krieger School of Arts and Sciences Dean’s office to ensure seamless office operations
  • Managing conflict-free calendar of numerous high-level meetings and appointments and disseminate corresponding meeting materials
  • Proofreading, editing, and summarizing confidential and sensitive information
  • Providing coverage at front desk
  • Performing other duties and assistance with special projects as assigned
  • Minimum Qualifications(Required)

    High School Diploma/GED.

    Five (5) years progressively responsible administrative experience.

    Additional education may substitute for required experience, to the extent permitted by the* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

    Preferred Qualifications

    • Bachelor's degree preferred.

    • Demonstrated ability with office desktop technology, including working with the Microsoft Office suite of products – Word (word processing, letter composition, report formatting), Excel (basic data management), PowerPoint (presentation creation and formatting), and Outlook – and Adobe Acrobat.

    During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

    The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
