The Human Resources Department is recruiting for a Program Assistant to support the team in Columbia, MD to provide direct support to the Employee Development and Training Manager, and general office support to the office of human resources. Work is reviewed for accuracy, timeliness and compliance with office procedures and goals.

WORK PERFORMED

  • Maintain enrollment list for Wellness program each semester.
  • Track participation in athletic programs sponsored by Wellness program to ensure participants submit required consent forms.
  • Liaison with both internal and external facilitators and vendors and provide excellent customer service in the coordination of program requirements and content to ensure their facilitation needs are met for Professional Development, and Wellness programs including on-site support.
  • Coordinate group webinars including the set-up of technology and addressing participant needs.
  • Provide assistance and feedback while working with IT to develop, maintain and troubleshoot professional development forms and data results in the myHCC portal or other data management software adopted by the college.
  • Create and maintain professional development program materials including announcements and calendar items on the myHCC portal or other data management software adopted by the college. Produce and distribute professional development calendar and program marketing materials via email and calendar. Work with IT to establish content and troubleshoot any problems as needed.
  • Advise Employee Development and Training Manager on workflow process recommendations and improvements within scope of responsibilities.
  • Serve as point of contact for HCC employees with HCC Express and myHCC portal to answer questions and resolve problems as needed.
  • In collaboration with IT and the Employee Development and Training Manager, maintain and troubleshoot the professional development modules in the Colleague system.
  • Assist with special projects, i.e. annual training compliance verification, HCC Express and portal enhancements.
  • Monitor Staff Development & Training and other Professional Development mailboxes; respond as necessary.
  • Generate purchase requisitions and facilitator contracts and maintain purchase records.
  • Manage data entry into the Colleague system for all Professional Development and Wellness training courses and sections including set-up of cross-listed PD/CEWD programs; tracking enrollments and cancellations for use in year-end reporting.
  • Coordinate room assignment, video and AV requirements, web meeting set-up, confirmation letters, catering, parking passes and follow up documents for programs; submit appropriate work orders.
  • Provide Colleague system generated rosters, evaluation forms and tracking sheets for all programs
  • Follow up with program participants to complete HCC Express registration in order to allow participant to be credited with attendance.
  • Complete grading for all Professional Development and Wellness programs through the Colleague system.
  • Coordinate with Records and Registration to make grade changes as needed.
  • Coordinate with PROD office to complete successful scanning and tracking of all program evaluations for both Professional Development and Wellness programs.
  • Maintain documentation of all pertinent information for both Wellness and Professional Development programs, by fiscal year, including rosters, grades, handouts, notices and flow charts.
  • Monitor, update and problem solve the data management system for tracking required employee training, skills and competencies.
  • Coordinate marketing and maintenance of professional development library.
  • Coordinate and troubleshoot Professional Development program assignment for employees.
  • Assist with the maintenance of the professional development process manual/documentation.
  • Serves as primary fill-in for human resources receptionist in their absence.

Requirements:

  • Completion of high school or GED and three (3) years of experience providing administrative support; AA preferred.
  • Human Resources office experience preferred.
  • Intermediate knowledge of Microsoft Office, Ellucian Colleague preferred
  • Ability to operate routine office equipment such as multi-line telephone system, computer, copier, fax, and/or other office equipment may be required.

OTHER REQUIREMENTS

  • Overtime may be required during busy periods.
  • Ability to interact effectively with others to determine needs and resolve conflicts
  • Ability to maintain strict confidentiality and adhere to the office of human resources code of ethics.
  • Ability to follow oral and written instructions and to communicate effectively, both verbally and in writing.
  • Regular attendance is a requirement of this job.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.

Hours Per Week: 37.5 hours
Work Schedule: M-F 8:30 - 5 pm
Compensation: $39,685 plus excellent medical & dental, tuition reimbursement and paid leave
Grade:9

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
