Primary Purpose of Organizational Unit

The Office of the Registrar supports UNCW’s mission by providing academic support services including student services and academic records management; degree and diploma processing; student academic information systems management; administration of regulations and policies of the Faculty Senate, academic eligibility of athletes and, as prescribed in the policies of the university and the Code of the University of North Carolina, maintenance of archives; and system-wide reporting (in collaboration with the Office of Institutional Research) of enrollment, courses and degrees awarded. The Office of the Registrar: Maintains the academic record of each student who enrolls at the university; Provides information about registration, academic records, residence status, and degrees while protecting the privacy of the individual; Uses the latest technology and procedures that will enhance student, administrative, and faculty services while ensuring the integrity, confidentiality, and security of academic records and information; Provides leadership and assistance in the development and modification of policies, procedures, and systems.

Brief Summary of Work for this Position

The Front Office Liaison & Records Specialist serves as the initial point of contact for the public via telephone, in person, and mail. Duties include:
•Answers questions regarding registration, records, and university policies and procedures
•Verifies enrollment, graduation, and transcripts, utilizing Banner and routing questions to appropriate staff or supervisors as needed
•Oversees all incoming USPS and campus mail, preparing mail for distribution to the appropriate in-office personnel
•Assists with data entry of intricate, confidential and precise elements and codes in support of various sections of the office
•Reconciles receipts for daily collections for purchases of transcripts, diplomas, and re-enrollment applications
•Provides miscellaneous support for requests from the Registrar, Associate Registrar or supervisor, as requested

Minimum Education and Experience Requirements

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work

Ability to communicate via telephone, in person and mail

Experience with document scanning

Experience with Microsoft Office

Preferred education, professional skills and experience

Two years experience in higher education

Two years experience with a student information management system

Required Certifications or licensure
