Job Description

Embry-Riddle Aeronautical University is now hiring an Administrative Assistant in the Office of International Programs. This is a skilled administrative and student support position. The Administrative Assistant will support the Assistant Provost & Dean in interactions with the President, Provost, ERAU students, faculty, and staff. Additionally, this position will support 5 departments that work directly for the Assistant Provost, and will spend substantial time working the reception desk and managing the student employees at the desk. This position will also manage the international travel registry system and the International MOU record management system, which are both part of the office's Terra Dotta International Education software system.

The successful individual will be highly organized, have an outgoing personality, and be able to multi-task. Excellent interpersonal and computer skills are essential, as is the ability to project and promote a positive image of the International Programs division while supporting academic excellence. The individual should be a team player with a strong commitment to service and at least 3-5 years of experience providing executive level support, preferably in an academic setting. This position will support a division of 20+ individuals where strong organizational skills will be critical. Responsibilities include providing administrative support, responding to faculty, student, other interested party inquiries, coordinating several budgets, and managing student employees. The position oversees efficient day-to-day operations of the International Programs division, including office management and support staff duties. The position will also serve as the budget coordinator for the division-wide budget. In addition to the administrative and budget support, the position incumbent will serve as a coordinator for student support and programming.

Qualifications

Required Qualifications:

  • High school (or GED) level ability in spelling, grammar, basic composition, and math
  • Minimum of 3-5 years of experience providing executive level support, preferably in an academic setting
  • Analytical skills with an in depth knowledge of information systems and technical expertise with Microsoft operating systems, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications
  • Strong problem-solving and decision-making skills, initiative and teamwork
