Located in Greater Boston, MassBay is a comprehensive, open-access community college offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.
Position Summary:
The ideal candidate will join a vibrant and inclusive educational community, and have a desire and ability to work with a diverse population. The coordinator will assist the Financial Aid staff with performing all phases of daily system operations, and assist with the processing and delivery of over $10 million in annual financial aid funds. The Coordinator of Financial Aid will be primarily tasked with managing daily operations in the administration and awarding of federal, state, and institutional aid programs on the Wellesley Hills campus. A successful candidate will possess critical thinking and problem solving skills, promote a positive work environment within the financial aid office, with other departments within the college and externally with outside agencies and will also have an appreciation for working with diverse populations.
Key Responsibilities and Duties:
  • Assist Senior Associate Director with EDE (Electronic Data Exchange) processing. (Process Federal Files which include COD (Common Origination and Disbursement) files and ISIR Files.)
  • Process Corrections and correct application errors if required. Export corrected data to the Federal Department of Education and verify corrections when returned by the Federal Department of Education.
  • Responsible for calculating Federal Return to Title IV (R2T4) and state refunds and updating enrollment and packaging for leaves and withdrawals.
  • Assists with the coordination of withdrawals and the transfer monitoring process for financial aid recipients.
  • Primarily assists in the management of, and updates the content on the financial aid sections of the Massbay website and other online services.
  • Assist with Disbursements.
  • Perform verification and process applications and confidential documents, including financial aid applications, tax documents, reports and correspondence.
  • Determine need for additional documentation to verify accuracy of application data. Follow-up for missing documentation.
  • Review financial aid applications and supporting documents for completeness and accuracy while resolving eligibility and application issues.
  • Assist in the review of financial aid appeals for extenuation circumstances to determine professional judgement adjustments to applicant’s aid eligibility.
  • Award federal and state financial aid in compliance with established federal, state and local regulations and procedures.
  • Review satisfactory academic progress status of incoming applicants. Notify applicants who do not meet eligibility requirements.
  • Meet and greet students and parents in the Financial Aid Office and provide information and advising to prospective and enrolled students.
  • Assists students with financial aid and loan program applications, verifications and related paperwork.
  • Assists with open houses, financial aid workshops, and various types of financial aid presentations on any or all campuses locations.
  • Responsible for maintaining currency in all aspects of financial aid.
  • Works with appropriate College personnel as related to financial aid programs (Student Accounts Office, Registration Office, & Admissions Office).
  • Maintain confidential student records.

Required Qualifications:
Minimum Qualifications:
  • Master’s degree in Education, Business, Accounting, Human Services, Sociology, or closely related field; with two (2) years of experience and/or training involving financial aid operations, loan processing, awarding, and computer operations; or an equivalent combination of education, training, and experience.

Preferred Qualifications:
  • Demonstrates a strong level of understanding in administering regulations and policies of student financial aid programs, including but not limited to current federal Title IV and state regulations;
  • Demonstrates strong knowledge of need analysis and federal methodology required;
  • Possess prior working/technical experience with computerized financial aid systems required;
  • Respect and understanding of people with diverse backgrounds, abilities, and needs;
  • Demonstrated experience in creating queries and technical report writing;
  • Possess strong analytical and organizational skills and strong attention to detail;
  • Ability to work flexible hours/shifts preferred and willing to travel to all campuses (Wellesley Hills, Framingham and Ashland);
  • Experience working with PeopleSoft is strongly preferred;
  • Demonstrated knowledge and competency with computerized financial aid applications in a network environment;
  • Strong ability to make recommendations to implement and maintain technological innovations in the operations of a financial aid office.

  • An appreciation for, and an understanding of, the role of technology and operations in financial aid;
  • Ability to work independently and as part of a team;
  • Ability to establish rapport with a diverse student population;
  • Ability to provide clear and concise written and oral instruction;
  • Experience with community college population desirable.

Additional Information:
Salary Range: Starting salary of $61,138.00, in accordance with qualifications and experience and subject to classification and the collective bargaining agreement. The appointment salary is based on one's education and experience as dictated by the collective bargaining agreement classification compensation structure.
