Job Summary

We are encouraging applications for a Stockroom and Building Coordinator for our outstanding team with JILA! This is a research support position with responsibility for the day-to-day operations of the JILA scientific and other stockrooms, keeping building access records, providing building services such as limited furniture moving, minor building upkeep, and basic event support, and serving as a liaison between JILA building staff and JILA operations. This position reports directly to the JILA Chief of Operations and is expected to coordinate closely with JILA Shops, custodians, and building engineers. The position has decision-making authority related to the areas of responsibility and will set and meet appropriate timelines and schedules based on the activities within the building on any given day.

What Your Key Responsibilities Will Be

Stockroom Operations
  • Collaborate with Electronics and Instrument Shop and scientific staff to understand specifications including material, size, and vendor for scientific items and determine whether items should be fabricated in-house or purchased commercially.
  • Initiate purchases of items to ensure timely progression of research including determining items and quantity to be ordered and working directly with vendors on pricing and shipping terms.
  • Keep detailed records of items ordered and on-hand including quantity, cost, preferred vendors, and delivery timelines.
  • Develop a plan for stockroom purchases that incorporates just-in-time purchasing, cost-benefit analysis for different vendors/shipping schedules, and other methods to ensure stockrooms function at optimal efficiency and effectiveness.
  • Keep stockrooms in good order, well-organized, and stocked at appropriate levels as determined by analysis and knowledge of research needs and usage.
  • Perform inventory as requested.


Building Support
  • Initiate weekly check-ins with Custodial Lead and Building Engineer to coordinate decision-making on day-to-day issues
  • Ensure strong communications with JILA scientific staff on building issues as they impact research.
  • Perform routine walk-throughs of JILA facility and take action or report items needing attention to JILA Building Engineer/Proctor or Custodial Lead for necessary repairs and maintenance.
  • Date entry into University Database for building access.
  • Maintain JILA common printers in good working order, ensuring they are ready for use. Perform basic troubleshooting and refer advanced issues to JILA Computing.
  • Oversee JILA common use rooms, ensuring they are in good order and supplied with any necessary items.
  • Ensure that office spaces are prepared and welcoming for new occupants, coordinating with the hiring manager and others on the appropriate use of available space
  • Phone Liaison
  • Monthly AED check, ensuring systems are functional and performing maintenance, as needed.
  • Procurement and distribution of COVID or other safety PPE/supplies to JILA scientists, students, and staff.


Event Support
  • Provide basic A/V support services for meetings and events, if needed. Refer advanced needs to JILA computing.
  • Ensure that JILA meeting rooms are kept clean and in good order. Collaborate with other staff to ensure that meeting rooms and furniture are set up, appropriately to accommodate a variety of meeting functions and sizes.
  • Provide limited assistance in room clean-up
  • Ensure adequate supply of event consumables such as plates, napkins, utensils, etc.


Mail Distribution
  • Distribute all incoming mail to JILA mailboxes.


What We Can Offer

The hiring range is $43,000.00-$48,000.00.

What We Require

  • A Bachelor’s degree or equivalent combination of education and experience may substitute.
  • 1+ years of experience directly related to the work assignment.
  • Demonstrated experience in keeping detailed computerized records.
