Mail and Copy Center Coordinator



Work Site Location: Coeur d' Alene Campus
Work Schedule: This benefited position is full-time, year round.

Job Summary:
This position is responsible for planning, organizing and directing the daily operations of the Mail/Copy Center and warehouse operations. The Coordinator is responsible for performing all Mail/Copy functions, as well as supervising full-time and/or part-time staff within Mail/Copy Center Services.

Job Duties:


This list includes, but is not limited to the following:

  • Supervises staff including planning, scheduling and assigning work schedules, evaluating work and performance and ensuring that all staff comply with policies, procedures and work instructions.
  • Provides the director with regular and timely operational updates and apprises director of any operational issues and concerns.
  • Assists in developing departmental procedures and policies.
  • Reviews employee training needs and makes recommendations to director.
  • Initiates corrective action when necessary.
  • Oversees campus support services warehouse, including tracking and accounting for stock and warehouse inventory. Communicates warehouse issues to other department supervisors.
  • Operates and troubleshoots minor problems with high-speed copiers and computerized electronic mailing equipment.
  • Configures set-ups and assigns manifests to the carrier management and shipping systems to ensure speed and reliability; produces monthly reports for the accounting department.
  • Maintains confidentiality of information and documents at all times and ensures staff maintain confidentiality.
  • Provides good customer service and responds to inquiries concerning mail or copy center services.
  • Assists staff and/or students with the proper classification and mail rates for first class, standard and overseas mailings; and in completing copy center work orders.
  • Collects and delivers U.S. mail, campus mail and freight to the NIC campus and warehouse according to USPS regulations.
  • Plans and oversees all pick-up and delivery routes and makes changes as needed. Presorts mail for all areas of the campus and outlying facilities.
  • Prepares first class and bulk mailings.
  • Researches and evaluates efficiency and cost-effectiveness of services and equipment.
  • Projects and plans to meet growth needs and organizational goals.
  • Operates the forklift to safely move items.
  • Creates invoices for campus departments related to services provided based on postage and copy center costs.
  • Maintains a positive, helpful, constructive attitude and work relationship with supervisor, college staff, students, and the community.

Minimum Qualifications
Education and Experience : High school diploma or general education degree (GED) and a minimum of two years of full-time related experience and/or training; or equivalent combination of education and experience.

Required License and/or Certifications :
Must possess a valid driver’s license.

Knowledge, Skills, and Abilities:
• Proficient skills in operating office equipment and a computer, including Microsoft Office
• Must have good verbal and written communication skills
• Ability to read, write and speak in English
