POSITION PURPOSE

The Administrative Assistant for Development supports multiple fundraising-focused teams at Whitman College, including the Associate Vice President for Development, four Relationship Managers on the Major Gifts team, and the Annual Giving office, while also serving in a data processing role.

PRINCIPAL ACCOUNTABILITIES
  1. Responsible for greeting visitors to the Development Office, answering the main incoming phone line, and serving as back-up to the CFO's Administrative Assistant when necessary.
  2. Assist the AVP and Relationship Managers before, during and after their prospect visits with actions such as scheduling appointments, arranging travel, preparing donor materials, distributing itineraries, processing receipts and travel expense reimbursements, and entering data in our databases.
  3. Keep inventory of stationary and supplies. Coordinate purchases of office supplies for the department.
  4. Organize and produce Annual Giving mailings, including printing and stuffing envelopes. Prepare and mail gift acknowledgments for donors, as well as matching gift acknowledgment letters for the Director of Annual Giving.
  5. Manage filing for the department, including supervision of student office workers who file and assist with projects as needed.
  6. Validate processed gift batches to ensure accuracy.
  7. Maintain accurate biographical records in the database through data processing from online forms, alumni surveys/census, registrar transcript forms, phonathon callers, admission applications, postal service changes, online alumni community updates, and other sources.


REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  1. Ability to work under pressure, meet deadlines, stay organized, and manage multiple priorities with an attention to detail.
  2. Excellent office skills, including writing, editing, proofreading, and answering multi-line phones.
  3. Strong computer skills, including keyboard proficiency, accurate data entry, learning new software, and experience with Microsoft Word, Excel, Powerpoint, and with GoogleForms.
  4. Effective interpersonal skills and the ability to work well with volunteers, students, staff members, administrators, and faculty with excellent customer service.
  5. Desire to actively and positively contribute to Whitman's core values of diversity, equity, and inclusion and the Development and Alumni Relations Department's values of integrity, trust, respect, collaboration, accountability and inclusion.
  6. Familiarity with and ability to learn relevant technology platforms to prepare reports and other written documents using spreadsheets, databases, and project management programs.
  7. Discretion in dealing with confidential information and demonstrated willingness to uphold high ethical standards.


QUALIFICATIONS
  • Associate's degree or higher
  • One year or more of experience in data processing
  • Two years or more of office experience


WORK HOURS

Full-time, 40 hours per week, 8:00 a.m. to 5:00 p.m., Monday to Friday
