Executive Assistant to the Vice President of Student Affairs

JOB SUMMARY:

Provide Executive Assistant support to the Vice President of Student Affairs (VPSA). To ensure the efficient and effective communication and operation of the day-to-day priorities and be actively engaged in the Vice President's strategic initiatives, project management, dashboards, and technological integration of complex projects and functions.

The Executive Assistant must exhibit superb interpersonal and student-centered customer service skills as a primary point of contact for students, staff, faculty, and external constituencies pertaining to the VPSA office. The Executive Assistant maximizes the VPSA time and campus and community engagement by managing an extremely active calendar to ensure the VPSA is well-informed and prepared for upcoming commitments and has appropriate materials needed in advance.

REPORTS TO: Vice President of Student Affairs

RESPONSIBILITIES & DUTIES:
  1. Exercises a high level of independent judgment and discretion in completing work activities, with strong written and verbal communication, meticulous attention to detail, administrative and organizational skills, and the ability and handle and follow-up on confidential matters with discretion.
  2. Coordinate internal and external meetings and appointments and manage active calendar, schedule to ensure optimal use of time and office efficiency.
  3. Assist the VPSA in preparing Board of Trustees reports, Executive Leadership reports, President's reports, and other administrative reports/documents as needed.
  4. Provide administrative assistance to the Dean of Students, such as scheduling meetings/appointments and managing the Dean's calendar.
  5. Ensure that the VPSA is abreast of internal and external deadlines, i.e., such as weekly updates for the President & Administration, agenda items, and monthly updates for the Board of Trustees.
  6. Assist VPSA with the management of the operating budget.
  7. Coordinate and schedule (minutes, etc.) VPSA Directors' meetings and other meetings as requested.
  8. Coordinate the Student Government and Graduate Student Council monthly meeting with President and VPSA.
  9. Coordinate the President's Student Leadership Award process.
  10. Check Student Affairs e-mailbox and voice mail and respond/refer/follow-up as needed.
  11. Coordinate and process payment to vendors, including campus procurement process.
  12. Process timesheets for direct reports and VPSA student payroll.
  13. Coordinate communication to students who are not compliant with immunization requirements.
  14. Coordinate mailing for annual disclosure to students to include drug and alcohol policy.
  15. Coordinate the Admission application process for applicants with a prior disciplinary or criminal record through SLATE.
  16. Process disciplinary/reference requests for transfer and other agency inquiries.
  17. Maintain filing and record system, including confidential files.
  18. Hire and supervise Student Affairs student employees.
  19. Perform other job-related duties as assigned.

REQUIREMENTS: (Knowledge, skills and abilities)
  1. Ability to handle multiple tasks effectively and accurately.
  2. Excellent interpersonal skills, organizational skills and attention to detail.
  3. Ability to be discrete and maintain high confidentiality on a wide range of issues.
  4. Excellent verbal and writing skills.
  5. Good knowledge of University policies and procedures.
  6. Ability to effectively use Microsoft Word, Excel, Internet.
  7. Experience with Administrative Systems, Email, Google Apps.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  1. Bachelor's degree required.
  2. Five to seven years of related experience is required.
