General Summary/Purpose:

Position serves as the Administrative Laboratory Coordinator to the Director of the Institute for Nanobiotechnology and the Institute’s laboratories. Duties require initiative, efficiency, and a high standard of independent judgment. The Administrative Laboratory Coordinator will be responsible for management for interacting with requests and schedule updates for the directors as requested, and for articulating the Institute message and Directors’ message to visitors and external contacts. This position will provide overall lab management support to the core faculty of the Institute for NanoBioTechnology.

Specific Duties and Responsibilities:

INBT Laboratories’ Management 65%

  • Provides lab management, supporting 17 INBT wet labs.
  • Serves as Institute safety officer, working as liaison between INBT faculty and lab members and Central Facilities, Health and Safety, and Campus Security to ensure safe practices in the laboratories.
  • Interfaces with departmental safety officers (4) to ensure labs are compliant with all applicable departmental, university, federal, state, and local safety environmental regulations.
  • Partners with primary departments and student lab captains of Institute faculty whose labs are in INBT space to prepare for Annual Department Safety Survey (inspection).
  • Serves as liaison between faculty and students and JHU operations and facilities as needed to address research laboratory facility issues.
  • Develops and recommends processes/procedures/policies to assure efficiency in general lab operations; provides training on recommended changes to relevant staff, students, and faculty.
  • Manages vendor relations and processes for INBT labs (lab coats, biohazard boxes, lab supplies, Core Store, Genetic Resources Core Facilities, etc.). Works with vendors and users directly to optimize pricing and delivery schedules.
  • Proactively communicates with key customers such as faculty, staff, students, and vendors in a professional manner to resolve issues and ensure smooth operation of all lab activities in a timely manner.
  • Monitors and schedules preventative maintenance on INBT shared equipment, tank farm, and building water systems, coordinating with WSE buildings and facilitates as issues occur.
  • Oversees delivery and installation of capital equipment in conjunction with INBT faculty and labs.
  • Maintains electronic database of all INBT equipment and instruments and coordinates with faculty, labs, and the Fixed Assets Shared Office for tagging, inventorying, and disposing of capital equipment.
  • Leads monthly lab captain meetings, sets the agenda and priorities for systemic processes and changes based on JHU guidance and the director’s feedback
  • Triages and responds to general inquiries for faculty and students on INBT lab, safety and building issues.
  • On-boards new lab personnel including welcome and coordination of training and related paperwork for Director.
  • Coordinates and maintains certifications for personnel-related lab trainings.
  • Attends quarterly Lab Coordinator’s meeting for all WSE lab managers and coordinators.
  • Monitors and tracks expenses related to lab activities (Service Centers including IIC, Animal Care, ilabs purchases, etc.).

Administrative 35%

  • Primary point of contact for the Director of the Institute for NanoBio Technology. Independently interacts with various offices within the Whiting School of Engineering and others within and outside the University. Performs duties of a sensitive and confidential nature.
  • Represents the Directors, Administrator, and the Institute as appropriate, in communicating with faculty, administrators, staff, and external contacts to respond to questions, resolve issues, and gather data as needed.
  • Independently manages difficult and changeable situations for the Directors and Administrator with tact and good judgment.
  • Maintains the Director’s calendar, including collaboration with lab members and Institute staff as well as scheduling of appointments and recurring meetings.
  • Coordinates and books travel for Director, coordinates reimbursements from host institutions and processes reimbursements through JHU as proxy in Concur travel system.
  • Initiates procurement transactions for Director (SAP, P-card, Travel Card, etc.) and works with financial team to provide backup for reconciliation of transactions.
  • Assists with preparing and editing correspondence, support and recommendation letters, promotion letters, manuscripts, grant proposals, etc. for the Director. Ensures timely submission.
  • Assists in preparation for meetings to include review of briefing documents and preparation of materials.
  • Manages document retention and filing (electronic and hard copy).
  • Assists in the management of the Gerecht Lab listservs to effectively communicate with current and past students and ensure the institute has accurate information.
  • Creates/revises/implements systems on procedures as necessary to improve workflow and efficiency. Other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree and/or equivalent education and training in engineering research and teaching laboratory operations.
  • Three years related experience. Proven technical knowledge and laboratory experience.
  • Master's degree, with related graduate research, may substitute for experience to the extent permitted by the JHU equivalency formula.

  • Ability to work independently, manage projects and determine priorities while maintaining a high degree of professionalism and confidentiality.
  • Demonstrated organizational skills with proven ability to effectively prioritize workload and be proactive in order to meet deadlines.
  • Proven ability to multi-task and process data quickly with a high level of accuracy. Ability to work collaboratively as part of a team.
  • Ability to work effectively with faculty, staff and students from a variety of diverse backgrounds. Experience in administrative support in an office setting including calendaring, word processing, data research, travel arrangements, minutes, maintaining filing systems and working with confidential materials.
  • Familiarity and experience with communicating a positive message to donors and institute participants.
  • Excellent computer literacy, word processing, and spreadsheet skills (Word, Excel, Access and PowerPoint).
