The Executive Assistant to the Dean supports the Dean and the Dean’s Office in operational and administrative details and performs administrative functions that require a thorough knowledge of University policies, procedures, and operations. The Executive Assistant to the Dean has recurring contact with members of the Whitman community, senior administrators and executives, public and private officials, students, and parents. The Executive Assistant to the Dean exercises initiative and independent judgment in managing the Dean’s daily activities. The Executive Assistant to the Dean uses discretion in the dissemination of information to faculty, students, staff and the various constituencies served by the Whitman School of Management and coordinates activities with all units of the Whitman School of Management.

Qualifications

Bachelor’s degree or equivalent, plus 5-8 years of work experience preferably in an academic environment.

Job Specific Qualifications

Excellent verbal, written, and communication skills are required; i.e., the ability to communicate effectively verbally and through written correspondence as well as in communicating with individuals in one-on-one situations.

A precise command of grammar, punctuation, spelling, and the correct usage of the English language is required.

Must be adept at consistently multitasking while accurately attending to detail.

Computer literacy is required and includes keyboarding ability and proficiency with word processing, spreadsheets, and presentation software.

Excellent organizational skills are required. Must be able to work independently, use initiative, and make substantive decisions quickly.

The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.

Responsibilities

Provide executive level administrative support for the Dean of the Whitman School – scheduling meetings, Dean’s calendar, travel and expenses, meeting logistics – booking rooms, catering, logistics. Meeting agendas and minutes, faculty and staff meetings, other Dean events.

Independently prioritize and schedule meetings and events for the Dean, and when necessary other senior staff. Prepare and edit presentations, reports, and background documentation for the Dean. Manage internal and external meetings including scheduling, travel, and logistics. Frequent interaction (verbal and written) with leadership within the School, other campus units, as well as external constituents (related institutions, major donors, alumni, and Whitman Advisory Board Members).

Assist department heads in the preparation of research leave requests, annual appointment letters, letters of offer, annual reports, Report & Recommendation for non-tenured faculty, according to established policy and review same for the Dean. Requires research and collaboration with the Dean’s Office, HR, the Provost, Faculty Affairs, and others.

Plans, facilitates, and executes campus-wide and external events hosted by the Dean’s Office. Collaborates with other offices and event planners to ensure events are scheduled, planned, and implemented.

Faculty support – processes, hiring, reviews, contracts, renewals and general HR related questions.

P&T Committee – provide support for the School’s P&T processes, both internally and externally.

HR process – search approval and online search proposal, advertising, maintain jobs in SU JobOpps, hiring proposals, faculty contracts, visa applications and other HR procedures related to hiring and leaves.
