Job Summary

We are seeking applicants for a Faculty Affairs Coordinator ! The College of Arts and Sciences comprises more than 60 departments, programs, and centers with approximately 1,300 faculty, and 500 non-faculty employees. The Dean’s Office Personnel unit is responsible for assessing and managing the human and organizational needs of the college. This position reports to the college’s Director of Faculty Affairs, and holds responsibility for the effective administration of personnel policies and the implementation of employment related procedures, ensuring that the appropriate documentation for personnel actions is completed.

The individual in this position provide guidance, advice, and direct assistance to associate deans, chairs, directors, department managers, and supervisors in regard to recruitment, hiring, reappointments, leave management, and retirement for faculty and staff positions.

The duties for this position are focused primarily on faculty, but may also be focused on staff dependent on current needs.

What Your Key Responsibilities Will Be

Procedural Oversight of all faculty job types, including Tenured Faculty, Instructors, Scholar in Residence, Visiting Professors, Lecturer, Non-Tenured Faculty and Additional Job Appointments for assigned portfolio
  • Administer system of transmission, proofreading, completeness checks and correction, routing, review and approval.
  • Train staff in the transmission/routing of appointment letters to the Associate Deans' approval.
  • Update, email, and publish online The AY Guide, a reference guide, as changes to appointment letter templates occur. The hyperlinks and repeated dissemination of this ever-evolving document require permanent ongoing maintenance.

Coordinate Faculty Recruitment Process
  • Provide administrative support for the recruiting process-respond to department entries, collect paperwork, and track completion for faculty recruitments within the College.
  • Serve as point of information regarding campus and university policy, and federal and state law, for deans, chairs/directors, staff and faculty accordingly.
  • Communicate procedural changes to A&S departments in collaboration with Personnel Team, Finance and Payroll Administration, and Budget Office.
  • Document procedures in a clear and consistent manner, and ensures procedures are updated on the college website. Collaborate with the Director of Faculty Affairs to ensure the faculty-specific pages on the CAS website are current and updated each semester.
  • Work in tandem with Director of Faculty Affairs on the on-boarding of new faculty, including but not limited to: collecting the CV, LORs, SSN and Faculty Pledge forms and submitting these to Faculty Affairs. Work with the Faculty Affairs Manager on updating of the official faculty roster each year, and updating the “Welcome,” orientation email that the Faculty Affairs Office sends to all new faculty.
  • Ensure that faculty paperwork is filed and maintained in accordance with records retention policy.

Sabbatical Process and College Scholar Award
  • Generate and communicate faculty sabbatical eligibility list, and application process notification to departments.
  • Supervise application process, submission accuracy, and resolve questions and problems.
  • Ensure that the Office of Faculty Affairs receives completed/approved applications, for final campus level approval.
  • Distribute final approval communication to departments.
  • Complete sabbatical reporting for the Office of Faculty Affairs.
  • Track and maintain sabbatical eligibility tracking document.
  • Notify college of College Scholar Award (CSA) nomination process and request nominations.
  • Ensure that sabbatical and CSA procedures, tools, and information is up-to-date and posted on the college website as necessary.

Instructor Reappointment
  • Use list of reappointments compiled each year by Faculty Affairs Manager to ensure all electronic dossiers are submitted by Nov 1 deadline.
  • Review each dossier for required documents, send dossier to respective Divisional Dean and follow up with them to ensure dossier is reviewed within two weeks.

Faculty Leave Administration
  • Work with the Faculty Affairs Manager to collect any additional applicable documentation from the unit should FMLA be requested.
  • Track the duration of this leave to ensure each document is received through the Fitness-to-Return (when applicable), noting this in the tracking document for leaves. Supervisor will still manage the actual LOA form.

General Faculty Support
  • Work with Director of Faculty Affairs to complete the transitioning of the paper leave form to a fully-electronic submission.
  • Assist Director of Faculty Affairs with various process improvement initiatives.
  • Serve as liaison with campus as needed.
  • Serve as “limited” backup for non-urgent matters when Director of Faculty Affairs is out of the office.

Process Improvements
  • Provide Director of Faculty Affairs feedback to identify process improvements to increase efficiencies of internal processes.
  • Collaborate with Faculty Affairs Director and other coordinators in weekly meetings.
  • Implement process improvements as defined and approved by Director of Faculty Affairs.


What We Can Offer

Annual Salary is $52,000.

What We Would Like You To Have

  • 2+ years of providing professional-level operations or administrative support.
  • Solid understanding of complex human resources information and management systems.
  • Demonstrated track record of communicating effectively and building and maintaining relationships at all levels of organization.
  • Experience working in a higher education environment.
  • Knowledge of faculty processes including leave and sabbatical.
  • Experience working in a human resources related position.
