Summary/Objective

This position serves as the administrator of AU Abroad information systems. The incumbent acts as the point person in areas of database administration, technical support, program enhancements, reports and training associated with the information system. The position is responsible for managing AU Abroad websites and developing web-based tools to promote study abroad. Responsible for producing, editing, updating and posting content in various social media outlets. This position reports to the Financial Director. The Web Systems Coordinator works directly with third-party software vendor to manage and trouble-shoot all aspects of the AU Abroad’s data management system (TerraDotta) and with AU’s Office of Information Technology. The Web Systems Coordinator supports approximately 25 full-time and regular part-time staff in AU Abroad and in the academic units by providing technical training, referrals, and problem-solving. The incumbent works independently on a day to day basis, setting daily priorities, identifying resources, and providing solutions and reports. Oversees mission-critical information system that manages application procedures, pre departure planning and risk management of over 150 study abroad programs and currently houses over 15,000 student records. The incumbent will work with ~25 full time staff within AU Abroad and in the academic units.

Essential Functions

1. DMS database administration:

  • Maintain integrated AU Abroad management system that supports all the data and management needs of the programs and services of AU Abroad and the academic units that use AU Abroad’s CMS (Content Management System);
  • Represent AU Abroad needs to CMS vendor (TerraDotta) and manage all project requests.
  • Support data synchronization between DMS and university’s records, consulting with vendor and OIT, to setup and maintain student accounts.
  • Oversee and coordinate all projects between AU’s Department of Information Technology and CMS vendor.
  • In cooperation with AU Abroad management, develop policies and procedures for use and management of DMS.
  • Provide reports to analyze complex data relating to department activities. These reports are used by AU Abroad management and university administration to assess AU Abroad programs and services
  • Seek to improve the way in which the AU Abroad uses the system, applying it to new functions and projects; help all units of the AU Abroad and other academic units to use the system well and fully.
  • Train staff to use the system and support students and staff


2. Web Communications Development and Management:

  • Develop and maintain AU Abroad’s Commonspot sites.
  • Develop interactive web-based tools to promote study abroad
  • Oversee and implement social media strategy
  • Develop and maintain customized interfaces for academic units using AU Abroad’s CMS.
  • Update and oversee management of Abroad at AU site in Commonspot.
  • Represents AU Abroad at University-wide forums including monthly CPC meetings.
  • Other duties as assigned in support of the Office of Global and Immersive Studies.

Required Education and Experience
  • Bachelor’s degree or equivalent in training and experience and at least 2 years of related work experience
  • Demonstrated experience in maintaining databases, online layout and web content management, IT project management, and social media account management
  • Proficiency with data analysis tools (e.g., Access, Excel, HTML)
  • Proficiency in Studio Abroad data management system, Commonspot, and Sharepoint
  • Must have the ability to work independently and to translate general direction into specific tasks
  • Excellent oral and written communication skills and attention to detail are essential
  • Experience in customer relations, computer support or training. Must be able to communicate technical information to non-technical users
  • Must demonstrate initiative (to problem-solve independently) while also working effectively in a team environment


Preferred Education and Experience
  • 2-4 years of relevant experience

  • This position requires interest in study abroad and international affairs
  • An individual in this position should possess strong interpersonal, oral and written communication skills, and should be able to work on multiple projects at the same time
  • Individuals should be comfortable exercising independent judgment and the ability to work autonomously under limited supervision
