Job Description

Embry-Riddle Aeronautical University is currently recruiting for a Director of Gifts & Data Administration to oversee the processing of gifts and donor receipts, including tracking pledges and matching gifts, as well as overseeing personnel and programs responsible for acquiring, entering or uploading, maintaining and updating, and analyzing aggregate constituent data.

The Director's team collects data and maintains information for development-oriented activities such as appeals, recognition programs, prospect management, and special events. The Director monitors the use of donor data, following University security measures, and insuring database integrity and accuracy. The Director applies laws, regulations and procedures related to all facets of gift processing and reporting. The Director also assists with the implementation of systems conversions, upgrades, data enhancement, and global changes as required, through the validation of data, existing and new processes. The position supports the Finance Office and auditors with their informational needs related to donation transactions.

In regard to data administration, the Director supervises, independently, the Manager of Constituent Data and a Data Specialist who are charged with implementing ongoing programs of data acquisition via entry, upload, or appending; data maintenance and strategic data hygiene processes; and analyses and reporting on trends, demographics, or other segmented information culled from the data. The Manager and Specialist will be cross-trained in order to enable them to successfully process gifts as well.

Responsibilities include the following:

  • Process contributions using fundraising and database management software. Generate and audit batch transmittals of gifts. Communicate with the Finance department to resolve coding and entry inquiries, assists with the monthly reconciliation of gifts and sponsorship revenue.
  • Supervise staff and students engaged in gift processing, data entry, and data maintenance. Ensure scanning of all documents into the University imaging archives is accurate and completed in a timely manner.
  • Monitor and evaluate all data entry, data transfer and reporting processes to be in accordance with the Financial Accounting Standards Board (FASB), the Council for the Advancement and Support of Education (CASE) and University standards.
  • Assists with updating and verifying donor biographical information by using research tools such as LexisNexis in addition to the university’s student information system (Campus Solutions) and the Embry Riddle online community (iModules).
