Job Description:
The Full-time Museum Assistant is critical to meet the growing needs of the Fairfield University Art Museum. The Museum Assistant provides day-to-day administrative assistance to the staff as well as organizational support for the curatorial, registrarial, and educational activities and programs of the museum. As office manager, the Museum Assistant is responsible for the maintenance of the museum galleries and ancillary spaces, and is the public face of the institution, greeting visitors and providing customer service. The Museum Assistant also manages the museum membership program and the digital marketing program.

Program and Project Management/Administrative Support
- Manage free membership program
- Recruit, train, and schedule volunteers
- Recruit, train, schedule, and process payroll for gallery
attendants
- Proofread and edit museum materials as assigned
- Update and maintain website
- Update and maintain mailing list and email list
- Update and maintain Digital Commons Museum Archive
- Update and maintain museum press archive
- Update and maintain visitor attendance and class visit
figures
- Process invoices and expense reports, order museum and office
supplies
- Assist with implementation of social media strategy
- Attend and assist at all museum events
- Manage, update, and maintain internal and external online
museum events listings
- Manage and create Eventbrite listings
- Assist Director, Curator of Education, and Registrar on
projects and assignments; assume ad hoc duties, as assigned
- Manage gift shop purchases and sales, and CT Art Trail
activities and passport sales
- Manage all mailings and FedEx shipments, act as liaison to the
university Mail Room
- Create and install digital boards
- Submit SchoolDude work orders
- Write thank you notes for donations
- Manage and respond to museum’s email
- Maintain, organize and re-stock office as necessary
Educational Outreach Coordinator
- Facilitate Family Day program
- Facilitate children’s and after-school programs
- Supervise undergraduate interns (fall, spring and summer)
- Execute speaker and Guest Curator contracts
- Arrange lodging and travel arrangements for guest lecturers and
exhibition couriers
- Manage event space reservations/set-up and tech support for
speakers/Zoom set-up
- Send post-event emails with surveys, and visitor and program
information
- Create museum-distributed art kits
Asst. to the Registrar
- Install exhibition and permanent collection wall labels
- Change lightbulbs
- Assist with collection inventories
- Other registrarial duties as assigned
*Hours: Tuesday-Saturday during the academic year. 11-months a year; t he museum closes from July 24 – August 22.
