Job Summary

The Client Services Assistant provides a range of intake and associated administrative services pertaining to incoming clients or patients.

Job Description

Typical duties may include but are not limited to:

•Schedules walk-ins and callers for appointments via unit’s current scheduling system.

•Creates brochures and flyers for clinical programs and services.

•Schedules subsequent diagnostic or counseling appointments, working with clients/patients to reschedule as necessary.

•Establishes client/patient folders and ensures files comply with confidentiality requirements.

•Collects and compiles department statistics to facilitate report preparation.

•Coordinates activities and services delivered by clinical staff.

•Orders supplies and maintains calendars and telecom needs.

•Adheres and complies with FERPA.

•Serves as essential personnel and provides assistance in the event of an emergency on campus.

Other Duties:

•Performs other job-related duties as assigned.

Additional Job Description

Required Qualifications:

High school diploma or equivalent.

Four years of relevant, full-time administrative support experience.

Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, PowerPoint and Outlook).

Preferred Qualifications:
Bachelor’s degree from an accredited institution in Psychology, Social Work, or closely related field.

Experience with office management in a counseling or medical office within a higher education environment.

Experience with Banner, Titanium Schedule, and Microsoft Office Publisher.

Knowledge, Skills & Abilities:
Knowledge of general office procedures.

Excellent interpersonal, verbal and written communication skills.

Strong organizational skills and an ability to prioritize and complete simultaneous projects within deadlines.

Skill in editing documents for spelling and grammar.

Ability to operate personal computers with proficiency and learn new applications and systems.

Ability to think critically and make clear, well-reasoned and timely decisions.

Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a fast paced service-oriented environment.

Ability to work successfully as both a member of a team and independently with minimal supervision.

Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes equity and inclusion.

Salary Range:

$15.80 - $17.24 hourly
