Position Details

Reporting to the Chairs of the English Department, the administrative assistant performs varied administrative duties that support the Chair and the faculty.

Maintain databases, generate reports and mailing lists, maintain calendars and organize meetings, manage office correspondence, departmental procedures, and provide reception for the center.

Maintain confidential files for faculty and student majors.

Provide support for faculty searches, tenure and promotion cases, external reviews, colloquia and special projects as needed.

Compose and edit written correspondence; create flyers and coordinate electronic mailings.

Manage/reconcile operating and department budgets, process student timesheets, A/P vouchers, travel reimbursements, charge program fees to student accounts and other financial transactions.

Assist with the coordination and logistics for all department/program events (e.g., speakers and lecture series) to include scheduling, publicity, room reservations, travel and catering arrangements.

Assist in compiling course offerings using CourseLeaf; liaison with departmental staff to manage cross-listings; edit material for course catalog and university publications.

Coordinate annual student Phi Beta Kappa recommendations, honors, and prize awards.

Oversee EMS requests for Downey 200 and 285 Court classrooms along with building maintenance needs of both buildings

Hire, train, supervise and process timesheets for student workers.

Maintain and update website.

Perform related duties as assigned.

This position is in the secretarial/clerical bargaining unit. Must be available outside of normal working hours, including some weekends for departmental events as well as attend and support weekly luncheons and socials. This position works 37.5 hours a week during the academic year and reduced hours during the summer.


Minimum Qualifications

Associate Degree and six years of related experience or an equivalent combination of education, training, and experience.

Ability to set priorities, to take initiative, to manage multiple duties with minimal supervision, and to pay close attention to detail.

Demonstrated expertise in Word, Excel, and email applications.

Experience with webpage and database management applications.

Strong organizational skills.

Effective communication skill

Ability to work effectively with students, faculty, staff, and visitors.

Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.


Preferred Qualifications

Demonstrated fiscal management experience.

Experience with social media.

Prior university experience.
