Provides high quality, customer oriented mail services by sorting, forwarding, and distributing mail in the Academy mailroom and throughout the campus. Also acts as a liaison between the Academy and the U.S. Post Office.

This position is considered “Essential Personnel” in the event that:

  • an emergency occurs on the PEA Campus or in the vicinity that would impact PEA;
  • inclement weather forces the closing of campus;
  • or other emergency events deemed appropriate.


Essential Personnel are required to report to or remain at work if instructed to do so if contacted directly by the supervisor (or his/her designee), the Principal or a member of the Principal’s Staff (Leadership Team).

Key Accountabilities
  • Sorting, screening, and routing all incoming, outgoing, and interoffice mail.
  • Receiving, documenting, and distributing express mail and packages to students, faculty, and office personnel.
  • Operating machines, including Fax, Postage Meter, UPS Track Pad system, and folding machine.
  • Processing and controlling the sale of postage to the Academy community, including cash and charge transactions.
  • Providing customer service at the mailroom window including sales, distributing packages and answering inquiries.
  • Maintaining cash drawers including daily reconciliation and replenishing balance.
  • Readdressing undeliverable mail bearing insufficient or incorrect addresses.
  • Forwarding all undeliverable mail to the U.S. Post Office.
  • Observing all policies regarding safety.
  • Keep the mailroom delivery vehicle neat and orderly in appearance at all times and keep maintenance records as needed.
  • Operating the academy mail van including pick up and return of vehicle to Academy garage.
  • Deliver and pick-up on a scheduled courier route as required.
  • Assembling mail at the Academy Mailroom for distribution on the mail route, which includes: picking up and delivering mail packages to central locations in designated Academy buildings, hand delivering special mail to offices as directed, and obtaining signatures on receipts for delivery of specified types of mail.
  • Performing duties in Academy Mailroom such as bagging mail, batching, moving heavy cartons, and loading/unloading trucks.

Incumbent works under the direction of the Mailroom Supervisor, but is expected to work with a level of independence and autonomy, and exercise a degree of initiative, influence, and judgment in decisions impacting staff and department operations.

Expected to solve problems or address issues that require immediate attention.

None.

Internal & External Contacts

Frequent contact with students, Dean of Students office, PEA administrative and academic offices, faculty, coaches, and staff. External contacts may include parents, outside organizations, visitors and local community neighbors.

Position Requirements

Education

  • High school diploma or GED is required.
  • Some college experience is helpful.


Experience

  • Previous experience in a mailroom preferred but not necessary.
  • Knowledge of accounting practices and computer software is preferred.
  • Valid driver’s license and good driving record are required.
  • Experience working with adolescents in an educational setting is preferred.

  • Proficient in MS Office, and ability to work with internal systems/applications.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  1. Physical demands are in excess of those for sedentary work and officers must be able to remain on their feet for extended periods of time, go up and down flights of steps, as well as stoop, kneel, crouch, and lift.
  2. Ability to lift and transport up to 50lbs without assistance.
  1. Ability to sit in a normal seated position for extended periods of time.
  2. Reaching by extending hand(s) or arm(s) in any direction.
  3. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example using a keyboard.
  4. Communication skills using the spoken and written word.
  5. Ability to see with normal parameters.
  6. Ability to use a visual display terminal with continuous wrist movement on a keyboard.
  7. Ability to hear within normal range.
  8. Ability to withstand exposure to inclement weather (rain, snow, sleet, freezing temperatures, etc.).
Additional Requirements
  1. Successfully complete a criminal background check (reviewed every 3 years).
  2. Clean Driving record (reviewed annually).


Successfully complete a pre-employment physical/health screening examination, which may include a drug screening.
