Key Responsibilities

The Access and Collections Coordinator efficiently manages the day-to-day operations of the library service desk, with an emphasis on ensuring a quality service for patrons.

KEY RESPONSIBILITIES :
• Plans, organizes, maintains and manages the processes and operations of circulation, interlibrary loan, equipment checkout, reserves, and facilities use and maintenance.
• Regulates access to library and ensures that library building is secure and that departmental opening and closing routines are followed.
• Develops, recommends and administers policies, procedures and processes in support of service desk operations in collaboration with the Library team.
• Responsible for providing excellent customer service and coverage for the service desk. Hires, evaluates, trains, and supervises student staff as necessary to ensure adequate availability for the campus community.
• Provides basic library and College information and appropriately refers patrons to research librarians; interprets and enforces library policies in both routine and difficult situations, and refers patrons to other library staff when necessary.
• Uses internal web forms, resource sharing management systems, integrated library systems, shared cloud storage, and specialized equipment to process requests from patrons and other libraries.
• Maintains supplies necessary to running the student information desk and student spaces.
• Processes requests from Librarians that support collection acquisitions, maintenance, withdrawal, record updates, and other projects.
• Performs essential bookkeeping functions for purchasing and communication with vendors to ensure ethical use of operating and restricted/endowed budgets.
• Participates in long-range planning for Library Services, working in collaboration with library staff and others to develop strategic plans supporting library access services.
• Evaluates new technology and products and makes appropriate recommendations for purchase and implementation. Provides project management for applicable technology deployments.
• Collects and analyzes data and information. Performs analysis and summarizes findings in applicable reports, surveys and other communication mediums. Keeps statistics and assesses operations ensuring quality customer service.
• Participates in a variety of meetings, committees, consortia and/or other related groups to communicate information regarding services, information resources, and/or other pertinent information as appropriate.
• Collaborates with other departments to provide information on available resources, programs and/or services.
• Provides tours and training for groups and individuals on how to use library and technology resources.
• Contributes to effective teamwork among colleagues.

Position Qualifications

Minimum
• Bachelor’s Degree required. Relevant experience may substitute for the degree requirement.
• Excellent interpersonal skills, including ability to establish and maintain positive working relationships with colleagues, staff at all levels of the campus hierarchy, a diverse community, and vendors and other external partners.
• Ability to tactfully and patiently explain and enforce policies, especially in unusual or difficult situations.
• Excellent communication and organizational skills with the ability to present information and ideas clearly and concisely.
• Commitment to excellence, quality and attention to detail; ability to handle high volume of activity with a high degree of accuracy.
• Developing and implementing effective recordkeeping processes.
• Demonstrated ability to manage workflows and improve operations.
• Demonstrated ability to train and supervise a team, preferably in the provision of general library services.
• Demonstrated ability to collect, compile and analyze data.
• Demonstrated ability to prioritize work with competing deadlines, effectively manage complex projects simultaneously, exercise flexibility in meeting objectives and adjust as circumstances change.
• Self-motivated and able to work independently and efficiently with minimal supervision and with frequent interruptions.

Supervision Required/Given

This position is supervised by the AVP / CIO under general guidelines and direction and must be able to work cooperatively and collaboratively with others. This position supervises approximately 30 student employees to ensure adequate service desk coverage.

Preferred Qualifications

Preferred
• 2+ years in a library service environment; or a combination of library and a comparable public service environment experience.
• Working knowledge of standard library practices, computing equipment, and library systems and software.
• Experience circulating library materials and equipment using integrated library systems and resource sharing systems.
• Solid understanding of standard print and electronic research databases discovery.

Physical Demands

Prolonged sitting, standing and walking for up to 4 hours at a time, frequent bending and lifting, able to lift up to 15 lbs. of library materials while moving/walking, pushing and pulling a book truck (4 wheels) of library materials weighing between 50 and 100 lbs., ability to climb several flights of stairs on an occasional basis.
