Under the supervision of the Director of Family Giving and Engagement, provide administrative office functions and general support for the Director and Associate Director of Family Giving and Engagement. This position will also provide administrative support for and under the supervision of the Associate Vice President ( AVP ) for Development and Alumni Relations.
Provide organizational and administrative support with a high degree of accuracy including general, leadership, and personalized solicitation letters according to parameters established by the Director; coordinate data to track gifts and pledges made in support of the Parents Fund; and prepare numerous other mailings including general correspondence, general solicitations, pledge reminders, gift acknowledgments, and invitations to special events. Support the AVP with calendar, meeting notes and reporting.
The Administrative Assistant also assists in the planning of family engagement events throughout the calendar year and is responsible for many event logistics. Engagement events include programming to engage families of students who demonstrate high financial need, so that those families may experience Bowdoin more fully. This individual often serves as first point of contact for the parent and family constituents, including lead donors and volunteers, particularly the 90-plus members of the Parents Executive Committee and the Senior Parents Gift Campaign Committee, and other committees.

Education/Skills Requirements

High school diploma or GED required.

Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment. Creativity in projects, flexibility in a dynamic workplace, and sensitivity to families in the Bowdoin community are vital.

Experience Requirements and/or Equivalents

Minimum of five years office experience; proficiency with Microsoft applications, including Word, Excel, and Outlook; excellent organizational, interpersonal, and telephone skills; ability to prioritize work and operate independently; ability to maintain a high level of accuracy while working under deadlines; sensitivity to and acceptance of the demands of confidentiality; strong grammar skills, the ability and willingness to communicate with college volunteers, parents, and grandparents. Familiarity with Web platforms and Raisers Edge database is a plus.

Standard Work Days and Hours

8:30 AM to 5:00 PM, 37.5 hours per week. Occasional evening and weekend work.
