The Associate Director of Admission and Financial Aid reports to the Associate Dean/Chair of Public Administration and International Affairs and coordinates closely with the Maxwell School’s Director of Enrollment Management. The Associate Director is responsible for a full range of duties related to the recruitment, selection and enrollment of a highly qualified and diverse student body in the department’s nationally renowned professional master’s programs in public administration, international relations, and public diplomacy. The Associate Director will serve as the primary point of contact for prospective students, plan and execute recruitment events, and lead the application review and financial aid awarding processes.

Qualifications

Bachelor’s Degree and 5 to 7 years of relevant experience OR Master’s Degree in Higher Education Administration, Public Administration, or related field and 2 to 4 years of relevant experience. Experience in admission and recruitment at an accredited, nonprofit institution is required.

Job Specific Qualifications

Capacity to develop understanding of the department’s graduate programs to explain to prospective students. Utilize excellent oral, written and public presentation skills. A commitment to diversity, an appreciation for working with diverse populations, and dedication to fostering an inclusive community is required. Strong interpersonal and communication skills as well as highly collaborative nature and proven ability to work as part of a team; ability to facilitate work between a wide range of individuals and groups including prospective students, alumni, faculty and staff from diverse backgrounds and campus departments is important for success. Strong analytic skills and sound judgment in determining which students to admit, to make financial aid awards to, and to nominate for external awards, and the confidence and integrity to stand by sometimes unpopular decisions. Ability to work evenings and weekends with a valid driver’s license for local, national and international travel. Ability to use a variety of software ( SLATE admission CRM, PeopleSoft SIS, etc.). Dedication to high professional and ethical standards for handling confidential information. An entrepreneurial mindset, continuously seeking opportunities to drive toward positive recruitment outcomes. Adaptable & confident problem solver.

Responsibilities

Direct Recruitment: Extensive and sustained phone, email, online, and in-person engagement with large numbers of prospective, applied, and admitted students from all over the US and internationally. This will include a significant amount of time out of the office for recruitment purposes.

Application Review and Admissions Decisions: Following protocols developed by the faculty and administration, review all applicants for admission and make admission decisions independently, seeking faculty input as needed. Evaluate admission procedures periodically and make any necessary adjustment to improve performance upon consulting with chair and faculty.

Management of Financial Aid Awards and Budget: Independently administer a budget of financial aid for students based on selection criteria developed in collaboration with the Chair and Director of Enrollment Management. Define procedures and criteria for financial awards and make all decisions on the awarding of financial aid to incoming and current students in the MPA, MAIR and MA Public Diplomacy programs. Work directly with Dean’s Office staff to maintain expenditures within allowable annual budget. Ensure proper administration of awards and make recommendations for
improving utilization of available resources.

Recruitment Planning and Management: ln close collaboration with the Director of Enrollment Management, develop, refine, and implement recruitment strategies, tactics, and initiatives to support the Maxwell School’s graduate enrollment management strategic plan including on-campus and online admission events and visits, off-campus and organizational recruitment outreach, and engagement of
current students and alumni ambassador volunteers in the recruitment process.

Coordination of outside student funding opportunities: Coordinate external fellowship awards with students, outside funding organizations and the graduate school. Work with the Dean’s Office and graduate school to apply for and obtain contracts for additional outside student funding sources when they become available. Determine which students and applicants will be nominated for University Fellowships. Write nominating statement, compile all supporting documentation, and
prepare nominations for the Graduate School.
