Job Summary

The Office of Admissions encourages applications for a Technician IV ! The position will manage 5 full-time credential evaluators (technicians). This position is responsible for the work performance and conduct of staff. This position oversees the hiring, training, and evaluation of staff. This position supervises the progress and output of this staff. This position is responsible for production output by managing the direction and distribution of a diversified and changing workflow—applications, credentials, phone calls, reports, images, etc. ensuring that deadlines are met and accuracy is maintained. This position coordinates activities with other areas of Admissions, the Registrar, the Bursar, Financial Aid, New Student Welcome, and the colleges and schools within the university.

What Your Key Responsibilities Will Be

Supervision and Management
  • Supervise 5.0 FTE which includes interviewing applicants, hiring, training, firing, assignment of duties, performance plans, performance pay program evaluations, recommend corrective and disciplinary actions, production control, setting goals, checking final disposition of tasks, signing leave requests, and approving work hours.
  • Evaluate and write performance evaluations for staff of 5; will supervise each staff member and will set appropriate goals according to their abilities.
  • Resolve conflicts within staff; will redistribute workload and tasks as vital in order to meet the goal as set by upper university administration: will resolve issues surrounding performance evaluations and, if vital, take disciplinary actions through appropriate channels.

Leadership and Administration
  • Coordinate, and implement admissions processing policies and procedures, provide recommendations for changes and improvements, analyze information to get practical solutions for work units.
  • Work directly with the Senior Assistant Director, Associate Directors, and the rest of the Operations Senior Management Team to make decisions regarding staffing for the office, procedural changes, personnel issues, and finding ways to improve efficiency and provide better customer service.
  • Work with the Senior Assistant Director and Associate Director to set workload goals and finalize procedures and communicate them to their staff of evaluators; will evaluate staffing needs throughout the office and will make adjustments as needed.

Application Evaluation
  • Evaluate and interpret applications and supporting credentials for admission to the university following established UCB guidelines, rules and regulations; examine and classify students' residency for tuition classification; serve as a resource authority for application process inquiries from other departments; resolve individual student problems/complaints and implements plan for a solution; conduct training of work-study, temporary and hourly staff for all operational processes.
  • Act as a resource authority for evaluator staff to tackle specific issues when evaluating applications and credentials; will contact other departments to resolve issues and solidify procedures.
  • Work directly with frustrated students, families, or other constituents on campus and work to find solutions to their problems; will need to work with other departments to resolve discrepancies and better serve the public; will investigate specific problems as they arise while evaluating applications and credentials and implementing plans to resolve issues.

Process Improvement
  • Implement new procedures for Admission Credential Evaluators and work with senior management to improve all processes within the admission operations division as appropriate; write procedures manuals and design forms to carry out the workload and workflow for each section.
  • Set deadlines and priorities to keep the workload distribution and workflow equitable, ensure factual information to assist with workflow during each cycle of the application process.
  • Prepare reports as needed including factual information about scheduling, workflow, section production, and quality of tasks completed.
  • Assign weekly workload goals; will lead meetings to keep staff members up to date on procedures and workflow changes; will regularly design and distribute edit reports for quality control.
  • Redistribute workload goals depending on staffing issues or schedules and will need to create or update procedures if they prove inefficient or as new issues arise.

What We Require

  • Four years of experience in an occupational field related to the work assigned to the position. Appropriate education will substitute for the required experience on a year-for-year basis.
  • At least 2 years experience doing similar work with increasing levels of responsibility.
  • A current resident of Colorado.
