Job Description
Embry-Riddle Aeronautical University is now hiring an Administrative Assistant for Disability Support Services at the Daytona Beach campus. The Administrative Assistant provides support to the Disability Support Services Director and staff. This position assists the Director in a support capacity by coordinating administrative activities, including but not limited to scheduling, personnel, budget monitoring and records maintenance. The Administrative Assistant will compile, store and retrieve management data for the preparation of recurring reports and perform other administration-related activities as assigned. This position is expected to assist with proctoring of exams including midterm and finals, as well as provide support and in some cases leadership of/for special projects. The Administrative Assistant has a diversity of duties and responsibilities involving the knowledge of University policies and procedures that require independent judgment in the determinations of actions to be taken.

This position is expected to assist with proctoring of exams including midterm and finals, as well as provide support and in some cases leadership of/for special projects. The Administrative Assistant has a diversity of duties and responsibilities involving the knowledge of University policies and procedures that require independent judgment in the determinations of actions to be taken.
Responsibilities include the following:
- Maintain the Director’s calendar including scheduling meetings and reserving meeting facilities. Greet visitors, answer incoming phone calls and relay accurate messages; prioritize and distribute incoming mail and draft and prepare routine correspondence.
- Coordinate the Director’s travel requirements to include preparation of itinerary, flight arrangements, lodging arrangements and ground transportation.
- Maintain an extensive knowledge of DSS software program – Assistive Technology Management (AIM) maintaining accurate current student and continuing student records containing confidential information. Track budget, purchases and provide the Director with regular budget updates, also assist when necessary in budget planning. Prepare purchase orders and requisitions. Maintain office supplies and prepare various forms.
- Attend and coordinate the Director’s bi-weekly staff meetings and track action items. Communicate regularly with staff reporting to the Director. Also, coordinate and ensure the submittal of various management reports by staff to the Director.
- Supervise student assistants and coordinate staffing, creating a professional atmosphere and productive workplace.
- The position requires interaction with University administration and academic personnel at all levels as well as key external corporate constituents.
- Assume special projects as assigned by the Director.
Qualifications
Required Qualifications:
- Associate's degree
- Analytical skills with an in depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.
- Prior administrative support experience
