Position Primary Purpose and General Responsibilities

Manage executive level, efficient functioning of the Dean of VCU Libraries and University Librarian, Manages calendars, prioritizes multiple issues and holds responsibility for successful follow-through. Resolves issues by using administrative guidelines and established University policies and procedures. Manages and responds to telephone calls and requests, mail services, office supplies and other administrative duties.
Coordinates work assignments with the Dean responding to requests for management information and is responsible for providing quality service to internal and external customers in an accurate and timely manner while ensuring top efficiency
Manages the Dean’s calendar and information flow to the Dean
Prioritizes multiple issues and holds responsibility for successful project follow-through
Represents the public and professional presence of the Dean of the Library and the administrative office of the VCU Libraries to the University community.
Provide administrative and logistical support to VCU Libraries Assistant and Associate Deans as well as to Human Resources and Library Business Office.
Works collaboratively with Development and Public Relations to support development activities of the VCU Libraries by assisting with events management, including the boards of library support groups.
Provides fiscal administrative support through preparing and processing travel and other expense authorizations and reimbursements.
Supervises student assistants

Minimum Hiring Standards

This position requires an individual who possesses a composite set of skills including experience in supervision, strong communication skills, strong organization skills, experience with sophisticated office systems, demonstrated administrative and interpersonal management skills with acute attention to detail.
Excellent customer service skills and ability to work with people from various backgrounds.
Demonstrated proactive approach to problem-solving with strong, independent decision-making capacity.
Demonstrated ability to work independently with limited supervision and the ability to work toward a common goal as part of the administrative team.
Must have high proficiency with software programs, including MS Office (including Word, Excel, PowerPoint) and Google Suite. This position requires a high degree of flexibility, confidentiality, diplomacy and tact.
Ability to understand the implications of new information for both current and future decision making and problem-solving.
The successful candidate will have demonstrated experience working in and fostering a diverse faculty, staff and student environment, or commitment to do so as a staff member at VCU .
Bachelor’s degree or equivalent

Preferred Hiring Standards

Previous experience working within a higher education environment.
