Position Primary Purpose and General Responsibilities

The office of Development and Alumni Relations ( DAR ) seeks an organized and friendly Project Coordinator to join a fast-paced team that ensures the success of DAR in key functional areas. The Project Coordinator serves as the main point of contact for the Sr. Associate Vice President for Development and the principal giving, gift planning, university development, corporate relations and foundation relations teams. The Project Coordinator manages projects for the office, and provides development and event support. Additionally, the Project Coordinator is responsible for drafting communications, agendas, and briefings and is responsible for managing the calendar for the Sr. AVP .

General duties include:
• Plan and manage events (including A-10 Tournament alumni events).
• Serve as the liaison between the University Development team, departments, schools/units, and marketing/communication for regional events and salon dinners.
• Draft event briefings for the President’s Office in collaboration with the SAVP
• Collaborate and lead logistics for hosting the Siegel Center donor suite including ticking to donors, alumni, and staff, staffing for the suite.
• Track division project and goals and maintain accurate records.
• Provide administrative, calendar and travel support in the areas of principal giving, university development, gift planning, corporate relations, and foundation relations.
• Support tracking and analysis of top donors through spreadsheets and other systems.
• Perform all fiscal activities for office, including purchase card reconciliation, process travel authorizations and reimbursements.

Minimum Hiring Standards

• Undergraduate degree or the equivalent experience
• Strong collaboration, written, oral, and data-analysis skills
• Previous experience supporting an executive in a fast-paced, highly complex environment
• Outstanding organizational and time management skills
• Ability to interact with executive level administrators at all levels of internal and external constituencies
• Proven record of team work and collaboration, including the ability to establish strong networks within a complex organization
• Mastery of project management software, Microsoft Office, and database applications.
• Ability to travel, work evenings and weekends depending
• Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a university professional at VCU .

Preferred Hiring Standards

• 5 years of experience supporting an executive
• Experience working in for an institution of higher education or a non-profit organization
• Experience donor database systems
• Experience with event management systems
• Previous experience working as a project manager or in project management.
