Job Summary

Reporting to the Manager of Employee Relations, this position provides collaborative oversight and responsibility for the administration of the College’s leave programs and accommodations under the Americans with Disabilities Act.

Serving as a liaison between the employee, management, related departments and external agencies, the position is responsible for providing general information related to the ADA, FMLA, worker’s compensation, and leave of absence requests. Additionally, the position is responsible for policy interpretation, research and problem resolution as requested while coordinating employee requests.

The position will be responsible for processing the leave of absences for employees, determining FMLA eligibility along with other state or federal regulates leaves of absence and sending out applicable correspondences regarding the status of the employee’s leave of absence requests.

Essential Duties and Responsibilities

Performance Requirements
• Effectively receiving, reviewing, and making appropriate decisions regarding requests for accommodation and leave under FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc. policy
• Handles the FMLA leave administration process from the employee’s initial notice of need for leave to return to work, including gathering and completing all required paperwork, determining eligibility, leave designation, requesting medical certification as needed and accounting for intermittent and reduced schedule leave
• Conducts ongoing auditing, reconciliation, record maintenance, and other reporting functions, ensuring program compliancy with government regulations
• Prepares notes and reports on interviews, actions taken and requests to meet management’s needs
• Accurately responds to inquiries regarding policies, procedures, programs, and compliance issues
• Identifies the need for changes in policies, procedures, and processes, taking the initiative to implement within assigned area of responsibility and inform for others
• Responsible for having a clear understanding of the College’s health insurance plan and other benefits, payroll processes, etc.
• Maintain knowledge of retirement related rules including but not limited to TRS, ORP, Social Security, and ERS to assist employees on leave
• Maintains close contact with employees and managers to keep them informed about expected leave duration, return to work dates, extensions, etc. for applicable employees
• Gathers critical and confidential data as requested (medical documentation, case notes, etc.) to support the College in its compliance efforts and legal matters
• Uses interpersonal skills, thinks, reasons, and makes sound judgements when working with employees regarding leave of absence, benefits, and retirement processes
• Consults with General Counsel and others to resolve issues

Service Excellence
• Coordinates with ERS, IT, and payroll department to ensure accurate pay status and benefit deductions for employees on leave
• Provides excellent customer service and outreach to employees regarding assigned programs
• Cultivates strong rapport with customers, internal and external stakeholders
• Serves as liaison and information resource for faculty and staff
• Visibility requires maintaining a professional appearance and providing a positive image to internal and external customers/stakeholders
• Attends the workplace regularly; reports to work punctually and follows a work schedule to keep up with the demands of the worksite
• Completes all required training and professional development sessions sponsored through Tarrant County College ( TCC ) as appropriate for the role
• Supports the values of the College: diversity, teaching excellence, student success, innovation and creativity and service to the College
• Supports the mission, values and 3 goals and 8 principles of the College

Required Education, Experience, Certifications, Licensures

• Bachelor’s degree from a regionally accredited college or university in Human Resources, Management, or related field and five (5) years of experience in the facilitation of leave programs and policies in accordance with the applicable federal and state employment laws ( FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.); or any equivalent combination of education, training, certification, and related experience

• Completion of specialized certification or training on FMLA /leave and/or ADA administration

Knowledge, Skills and Ability

• Ability to maintain and appropriately communicate confidential information
• Ability to grasp complex concepts and procedures quickly
• Ability to demonstrate high quality case management skills using Microsoft Excel, Word, Outlook, and other programs to organize work
• Strong judgement, decisiveness, critical thinking, and excellent oral and written communication skills to work effectively with employees at all levels of the organization
• Ability to work under pressure with multiple interruptions and meet deadlines
• Ability to thrive in a fast-paced, customer-service oriented collaborative team environment
• Advanced skills in Microsoft Word, Excel, and PowerPoint with a keen understanding of information technology and relational database applications
• Working knowledge of employee benefits packages
• Working knowledge of payroll processing and its relationship to leave administration
