Executive Administrative Assistant & Coordinator Foundation Relations

The University of Akron



  • Oversee office functions of Office of Advancement (includes – Development, Alumni & UA Foundation) while providing support to Vice President of Advancement & Executive Director of UA Foundation
  • Operate with great latitude for independent judgment and initiative
  • Manage business functions of the Office of Advancement and UA Foundation by providing high-level administrative support for the Vice President and Executive Director that includes preparation of correspondence, proposal editing and proofing, report preparation and coordination of the Vice President and Executive Director day-to-day schedule, follow-up, and travel arrangements
  • Act as liaison between the Office of the President and the Office of Advancement/UA Foundation to help manage the flow of information, facilitating the vice president’s guidance of the president’s correspondence to external audiences, facilitate the timely reporting of event and visit briefings between the VP and the president
  • Handle confidential information regarding principal gift solicitations, naming proposals, and board communication and negotiations
  • Summarize incoming information and distill to core messages and information needed
  • Manage the Vice President and Executive Director’s calendar including, organizing meetings, both internal and external, and preparing agendas, gathering necessary reports or information prior to meetings, as needed, and gathering weekly reports from direct reports in Advancement
  • Anticipate needs and ensure that the Vice President/Executive Director is fully prepared for all engagements including meetings and events
  • Plan and execute all events for UA Foundation throughout calendar year and managing UA Foundation football suite including, manage invitations, prepare the suite for all games, attend and assure guest(s) have an excellent experience
  • Coordinate foundation budget and submit invoice payments for both Advancement and Foundation
  • Maintain all foundation information as it relates to correspondence, director list, member list, committee meeting minutes and terms of rules and regulations
  • Research and analyze past practices and best practices for foundation relations and assisting in maintaining correspondence and communication with members (30+) of the foundation board of directors and all committees
  • Serve as gatekeeper to the Vice President and Executive Director, screening calls and visitors and responding to inquiries that do not require Vice President/Executive Director involvement and notifying the Vice President/Executive Director of specific matters that require special attention

Required Qualifications:

Requires a relevant Associate Degree and a minimum of 6 years of progressive work experience in a high volume, fast-paced work environment in an administrative field.  Require a broad knowledge of University operations and policies, a high level of discretion, organization and advanced computer skills. Strong interpersonal skills problem-solving skills and research skills. Ability to adapt to new technology and work in a fast-paced environment.
