The Strategic Initiatives and Administrative Coordinator is an important member of the Department of Student Diversity and Multicultural Affairs team. Areas of responsibilities include but are not limited to:
1. Departmental operations management and administrative
oversight:
a. Purchase supplies and keep a detailed inventory
b. Manage and update all departmental calendars including office
hours and resource room reservations systems
c. Assist in maintaining the physical resources and appearance of
the Department
d. Enforce the community standards and protocols all shared
department spaces
e. Ensure the SharePoint file repository is continuously
updated
f. Facilitate assessments, code data, and draft reports
g. Make room and catering reservations
h. Provide customer service to visitors of the office and answer
questions about the office, events, and other related
organizations
i. Help represent SDMA at resource fairs, orientations,
large-scale celebrations, and other related student-led
gatherings
j. Help the director operationalize departmental policies and
procedures.
k. Performs other duties as required.
2. Budget Management:
a. Process, record, copy and keep accurate electronic records of
budget expenses for the office
b. Review and process contracts, honorariums and
reimbursements.
c. Administer the budget database and review monthly financial
reports
d. Communicate and negotiate with vendors
e. Administer the Unity in Diversity Fund process including
reviewing proposals, meeting with and advising student
organizations, processing contracts, facilitating assessments,
coding data, and advising the Director on funding
trends. UID provides funding to student groups and
academic departments for social justice and diversity related
programming.
3. Programming & Facilitation
a. Facilitate a select number of department sponsored workshops
e.g., Introducing Social Justice, SDMA 101, etc.
b. Facilitate workshops and discussions on social justice topics
during student leader retreats, trainings, and in-services
c. Help the Director to coordinate programming and assist with
administrative tasks related to the Seizing Opportunity for
Academic Resilience (SOAR) e.g., workshop facilitation, curriculum
development, administrative tasks
d. Support the Assistant Director for Leadership & Advocacy in
administering the Students Together are Reaching Success (STARS)
and Leadership and Education Development (LEAD) Programs e.g.,
ordering supplies, assisting with retreat planning, facilitating
workshops, and other administrative tasks as approved by the
Director
e. Teach a section of UNIV 101 when necessary
4. Personnel management and supervision:
a. Processing all new and rehire paperwork including verification
of I-9 documentation
b. Ensuring proper documentation is submitted for all scholarship
recipients
c. Approving bi-weekly time-cards for hourly employees
d. Supervising the office intern and a graduate intern (second
semester)
5. Digital communication and marketing management:
a. Review and update website content on a weekly basis or daily as
needed ensuring consistency of content and formatting
throughout
b. Coordinate and execute social media strategy using Facebook,
Twitter, Pintrest, and other types of social media
c. Promote office initiatives and events through various channels
of communication
d. Create digital marketing and communications
e. Review and respond to messages in departmental inbox daily
f. Add content weekly to the Social Justice Toolkit, an online
resource repository.
6. Event Planning & Coordination
a. Coordinate and assist with major departmental events including:
SDMA’s Welcome Week events, MLK Celebration, Diversity
Awards Reception, Desserts in December, Spring Welcome Back, Legacy
Celebration, etc.
b. Assist with planning of retreats and student leader
trainings
c. Communicate with vendors and ensure that they are paid
7. Advocacy & Resource Curation
a. Build and maintain relationships with various campus
partners
b. Connect students with campus resources and partners
c. Attend trainings in order to better support diverse
intersectional students across developmental cycles
d. Identify resources to inform departmental best practices
e. Serve on divisional committees

Minimum Requirements:
Bachelor’s degree in related field and at least two to three years of related experience required.
