Position Summary:

This position provides direct executive-level management support to the Dean of the School of Pharmacy (SOP) and coordinates the administrative activities of the Dean and their office. Through supervision and delegation of tasks to the administrative support in the Dean's office, this position oversees the coordination and organization of the Dean's schedule and providing support to the school priorities and projects. The position supervises an administrative staff person who executes the day-to-day operations of the office.

This role serves as a liaison to the school's leadership team, interpreting and prioritizing issues and tasks that arise and referring them to the appropriate person.

This position acts as a Dean's office contact to SOP administrators, chairs, faculty, staff, students, outside organizations, media, political representatives, and other members of the community. The incumbent will demonstrate exceptional customer service by establishing and maintaining effective professional relationships within the SOP, UW-Madison, and other stakeholders.

The responsibilities require substantial independence of planning, decision making and action, often involving delegation of aspects of work to others. The incumbent is expected to utilize a considerable amount of independent initiative and judgment, and a high level of administrative problem solving and analytical ability.

This position will report to the Dean and is responsible for the general supervision of the administrative staff (2) within the Office of the Dean. This position will institute and maintain sound administrative procedures to ensure consistency, fairness and compliance in operations.

Degree and Area of Specialization:

Bachelor's degree required or equivalent experience.

Minimum Years and Type of Relevant Work Experience:

Required:
- Minimum of 1 year experience managing an office or unit that serves a large, diverse academic community.
- Proven ability to work effectively in a fast-paced, complex and dynamic environment.
- Strong analytical/problem-solving skills using sound judgment within policy parameters.
- Excellent project management skills with a strong attention to detail, and ability to multi-task with demanding timeframes.
- Proven ability to exercise patience and perseverance in stewarding the development of major projects.
- Must be tolerant of ambiguity and uncertainty as projects mature.
- Advanced technical and computer skills to support administrative functions including MS Office Suite with an emphasis on PowerPoint, Excel and database skills, electronic calendar management, various videoconferencing applications such as Zoom and email applications .
- Excellent writing skills with editing and proofreading ability.
- Strong communication and interpersonal skills to collaborate effectively with all levels of employees, both verbally and in writing.
- Proven ability to work independently and as a team member.
- Ability to use high-level discretion and maintain a high level of confidentiality.
-Supervisory experience with strong delegation skills.

Desirable:
- Working knowledge of University of Wisconsin policies and procedures.

Flexibility in working hours is expected at times requiring working evenings and weekends.
