Job Summary

The Administrative Assistant performs a broad variety of administrative tasks for Event Management and Scheduling within the Business Services division including greeting visitors, answering the phone and responding to requests, handling office correspondence, recording meeting minutes, assisting with special events, keeping comprehensive files, maintaining event statistical data and reports, maintaining event billing records, maintaining an inventory of supplies, keeping a running account of the budget, submitting and monitoring service requests.
This position works with and supports all areas of the college to successfully execute special events, meetings and conferences and also serves the needs of clients, JCCC students, visitors and external stakeholders from community and regional organizations.
This position serves as a liaison for event management to several areas of the college, with emphasis on Continuing Education, The Nerman Museum of Contemporary Art, The JCCC Foundation and the President's Office. This position also serves as a backup to the facility scheduling positions and Office of Space Management.
The Administrative Assistant must be available to work occasional nights and weekends as needed.

Required Qualifications

Associate's degree
2 years' experience as an Administrative Assistant or in a support role
Proficiency with computers, including word processing, spreadsheets, PowerPoint and database programs
Excellent written and verbal communication skills
Excellent organizational skills and attention to detail
Creative skills
Analytical skills
Problem solving skills
Ability to prioritize and handle multiple projects at one time
