Assistant Dean, Graduate Academic Affairs

Salary Range: $90,000 - $110,000 /year

 

The Graduate Division is the central resource for all matters related to graduate education at UC San Diego. Our team is there at every step in a graduate student’s career, helping students navigate their path from admission to graduation and beyond. Working behind-the-scenes and in collaboration with faculty, staff and students, the Graduate Division guides today’s scholars on their upward trajectory to becoming tomorrow’s leaders.

 

Graduate Division Strategic Objectives:

1) Graduate Excellence: Grow the graduate programs and develop new curricula, while recruiting outstanding, diverse students, enhancing our stature, and serving the needs of students and society.

2) Graduate Student Experience: Deliver an outstanding graduate student experience by providing enhanced student support services, mentorship, career development, internships, and social events by promoting interdisciplinary scholarship and community building.

3) Financial Sustainability and Stewardship: Foster fellowships, training grants, philanthropy, and develop revenue generating educational programs that enhance our stature and promote our campus mission. Continue to develop agile and streamlined administrative processes that provide outstanding support to academic departments and programs.

4) Monitor Progress: Collect data to assess progress towards the above goals, and provide rapid feedback to individual departments and programs regarding admissions, mentoring and more.

5) Communicate our Impact: Engage in a variety of outreach events to enhance opportunities and visibility for our graduate students and programs.

 

The Assistant Dean of Graduate Academic Affairs serves as a member of the Dean’s Cabinet and senior adviser to the Dean of Graduate Division, planning, developing, interpreting and implementing university, campus and Graduate Division policies, procedures and regulations relating to graduate student academic affairs, including academic standing, progress and completion.

 

The Assistant Dean manages and administers the Academic Affairs Unit of the Graduate Division including lead direction and budget oversight. Advises, consults with, and serves as resource person for the Office of the Executive Vice Chancellor (EVC) and divisional deans; department chairs, program directors, advisors, faculty, and staff; UC Office of the President (UCOP), Council of Graduate Deans, and other graduate offices; and various national entities and organizations on all graduate student academic and degree matters. Responsible for the management of all graduate program reviews.

 

Liaises with the Academic Senate and Graduate Council, and Office of the Registrar on graduate student and degree program matters. Serves as a campus resource for the development of new graduate degree programs and new school proposals, providing guidance and direction of approval processes. Maintains records and analyzes student academic status. Provides administrative leadership in graduate education planning and policy development. Works with the Graduate Division Dean, Associate Dean(s), other Graduate Division leaders, and participates in Graduate Division decision and policy-making.

 

Provides direct and indirect supervision for 10 career staff according to established policies and management guidance.

 

Must be willing and able to travel. Occasional evenings and weekends may be required. Overtime may be required.

QUALIFICATIONS

• Extensive knowledge and experience in graduate education, programs, structures, policies and procedures. Thorough knowledge of organizational or initiative processes, protocols and procedures.

• Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing. Skill in analyzing and writing reports, policies, policy statements, and reports.

• Extremely strong negotiation skills. Ability to act as a facilitator, exercising diplomacy, tact, professionalism, responsiveness, a high level of flexibility and persuasion. Skills to develop mutually beneficial partnerships with internal and external constituents and effectively communicate in a clear and concise manner with students, faculty and administrators.

• Advanced project management skills. Ability and expertise to project manage and analyze new degree and school proposals, to advise and direct faculty in the development of new programs, schools, and ascertain that University and campus rules and regulations are upheld.

• Advanced knowledge of applicable policy analysis techniques. Outstanding skills in analyzing graduate education issues. Sound knowledge of institutional research design and methods with strong ability to interpret and evaluate research results.

• Excellent analytical/problem-solving skills. Strong analytical skills with experience in resolving a wide variety of complex issues pertaining to graduate student, academic and staff personnel matters. Ability to discern the "big picture" and identify various options to resolve multi-faceted problems.

• Strong team building skills with ability to self-motivate and work independently with minimal supervision.

• Demonstrated experience supervising and managing the work of others. Demonstrated experience in managerial and administrative practices and principles.

• Proven experience in interpreting, developing, implementing and enforcing various regulations and procedures. Ability to identify, research, determine, and implement procedures to accomplish effective solutions, to respond accurately and quickly to forestall complications or other problems.

• Creativity sufficient to analyze and innovatively solve unusual and new concerns in ways which establish effective and efficient precedents.

• Skill, knowledge, ability and willingness to actively participate and contribute to change management activities.

 

Preferred:

• Knowledge of UC governance, organizational structures and the process necessary to plan and implement new academic and administrative policies and programs. Knowledge of Academic Senate and Graduate Council rules, regulations and procedures, and of graduate education programs, policies and procedures as they relate to the University of California and UC San Diego as well as in-depth knowledge of state and federal policies, regulations and laws relating to graduate education.
