Job Summary

With emphasis on more complex administrative tasks, provides administrative, financial, and general clerical support to all components of University Writing.

Essential Functions

Manages all accounting and budget-related tasks, including purchase card reconciliation and transfer of funds. Provides support for budget preparation, including tracking expenditures and compiling reports for internal use. Manages all human resource and payroll processing, including hiring and termination of full time and student personnel, submission of time records, and travel/expense voucher processing. Advises staff, students, administrators, and clients of standard policies or procedures. Performs a mix of administrative and clerical duties, including but not limited to data gathering, data management, correspondence, filing, calendar management, event logistics, mail distribution, answering phones, organizing files and materials, and purchasing/ordering supplies. Assists others in planning and executing programs and events. Manages databases and project management protocols and maintains archival records. Ensures that software and hardware work as required, troubleshoots problems, and arranges for OIT support as necessary. Assists others with all administrative tasks including yearly reports, preparation for presentations, coordination with other university partners, researching and making recommendations for specific needs, arranging for and supervising completion of office repairs and maintenance. Creates or assists others with email, newsletters, correspondence, committee minutes, and website resources. Updates the University Writing website as needed. Acts as a point of contact to other departments, students, faculty, guests, and outside agencies/vendors on behalf of the office. May perform other administrative duties and clerical tasks as requested.

Minimum Skills and Abilities

Excellent written and interpersonal communication skills. Consistent attention to detail.

Proven ability to manage human resource and budget tasks.

Evidence of sufficient technical competence to troubleshoot, manage communications with OIT, solve basic technical problems, and provide administrative and technical support to others in the office.

Ability to multitask and manage time well in a high traffic environment.

Ability to learn and advance skills across other systems.

Evidence of innovation, creativity, and ability to work as part of a team on complex projects.

Minimum Technology Skills

Windows and Mac OS-X operating systems, copy machine, conferencing software (Zoom), projection equipment, Microsoft Office (especially Excel, Word, Outlook), cloud-based file management (Box) and Adobe Acrobat.

Minimum License and Certifications

Desired Qualifications

Some college or college degree. Additional years of experience at preceding level or equivalent.

Experience with: project management and databases; Salesforce or similar programs; Qualtrics, Baseline, or similar scheduling/survey software; website design and maintenance.

Experience with event planning, logistics, and execution.

Experience with university systems for finance and personnel, such as Banner, Kronos, etc.
