The Financial Aid Administration invites applications for an Administrative Associate II to join their team. Under the direction of the Associate Director of Customer Care, the person assigned to this position will provide excellent customer to students navigating the process of applying for and receiving aid. This role will also be responsible for performing the clerical duties related to processing Federal Direct Loans, private student loans, federal and state work-study programs, and scholarship programs.

The person assigned to this position is expected to be a smart, analytical, creative individual, who has a philosophy of exceptional customer service, is a quick learner, is able to problem solve and troubleshoot, is comfortable with complexity and continual change, is an excellent communicator, is good at reconciling data, can effectively and professionally manage conflict, and possesses an interest in becoming part of a dedicated team.

This position requires incumbent to develop a working knowledge of Federal and State aid regulations and UM policies and procedures; Banner, COD, NSLDS, and Microsoft Office; and become familiar with CyberBear, UM Financial Aid website, FAFSA.gov, and studentaid.gov to the degree of being able to assist a student with navigating through them.

  • Must have good mathematic/accounting skills and have great attention to detail
  • Must have strong communication skills and be able to have consistently positive interpersonal interactions with students, families, agency representatives, faculty and staff
  • Must be able to maintain strict confidentiality when working with proprietary information
  • Must be able to adjust quickly to changing job demands
  • Must be able to effectively troubleshoot customer needs
  • Must be able to use standard office equipment including copiers, fax machine, ten-key adding machine, multi-line phone system
  • Must have demonstrated skills in the operation of personal computers and related word processing, spreadsheet, and database software (Microsoft Word, Excel, Outlook, and PowerPoint) with the ability to learn other software
  • Must be able to be granted access to federal aid databases (meaning the person assigned to this role cannot be in default on any federal loans)


Minimum Required Experience
  • High School diploma and two (2) years of higher education and/or related work experience or an equivalent combination of education and experience

Position Details

Position Title: Administrative Associate II

Position Number: 006800

Department: Financial Aid Administration

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year.

Salary: $12.92/hr

Union Affiliation: FOCUS-MFPE

Probationary Period: Six months minimum
