 Administrative Specialist

 

Coastal Carolina University is seeking candidates for the full- time position of Administrative Specialist (Administrative Specialist II) in the Department of Biology.

 

Duties include, but are not limited to: serve as departmental Administrative Specialist and liaison for BIOL; handle various correspondence with faculty, staff, current and prospective students, alumni, parents, and the general public; coordinate prospective student visits, disseminate departmental information; schedule room reservations; coordinate tutoring schedules; coordinate and perform fiscal management activities, monitor and maintain departmental budgets and accounting functions; initiate and organize budget requests; respond to budget audits; monitor and audit SUF, PEG, QEP, and SAF for BIOL; coordinate and perform personnel management activities;  interview, train, supervise, and mentor student workers and part-time employees; prepare and oversee all hiring and salary paperwork for departmental personnel; coordinate and perform procurement management activities; coordinate and track all departmental purchasing, maintain P-Card, serve as PCard liaison, oversee purchasing of basic departmental supplies; coordinate travel activities; coordinate and track all departmental grant-related paperwork, coordinate all field trips, schedule travel and itineraries for invited departmental guests and candidates; assists in planning, developing, and implementing academic advising, registration, orientation, recruitment and retention activities; perform Datatel functions, drop/add, change advisers, change of major/minor, assign advisers, make student folders; assists with meet-and-greet, career networking events, student research symposium, and other departmental functions as assigned; provides exceptional customer service to all constituents, including but not limited to, faculty, staff, students, visitors and the community at large while handling all constituent needs in a professional, timely and positive manner; and other duties as assigned.

 

Requirements: High school diploma or equivalent (GED) and two (2) years of related work experience. Equivalent education, training, and experience will be considered. A bachelor’s degree and experience in an academic setting are preferred.
